Key Responsibilities:

  • Guest/Client Services: Greet and welcome guests and clients in a professional and friendly manner. Direct visitors to the appropriate person and office.
  • Administrative Support: Answer, screen, and forward incoming phone calls, take messages, and manage the general office email inbox.
  • Scheduling and Coordination: Manage and coordinate appointments and reservations .
  • Office Management: Receive, sort, and distribute daily mail/deliveries; maintain office supply inventory; and keep the reception area tidy and presentable.
  • Data Entry/Paperwork: Perform basic clerical duties such as filing, photocopying, transcribing, and faxing. Process forms and maintain accurate records .
  • Billing/Transactions: Handle simple cash, credit card, or payment transactions and maintain a daily log of receipts .
  • Problem-Solving: Address and resolve simple customer/guest inquiries and complaints, escalating complex issues to the appropriate manager.

Qualifications & Skills

  • Education: High school diploma or degree .
  • Experience: 1 or 2 year of proven working experience in a front office, reception, or customer service role.
  • Communication: Excellent written and verbal communication skills.
  • Language english preferred
  • A professional attitude and appearance are essential.
  • Technical Skills: Proficient with Microsoft Office Suite (Word, Excel, Outlook) and experience with office management systems (e.g., reservation software, POS systems) is desirable.
  • Soft Skills: Strong organizational skills, the ability to be resourceful and proactive when dealing with issues, and superb customer service focus.
  • Reliability: Proven ability to handle multiple tasks simultaneously and remain calm under pressure.
