Job Description:

Our organization is looking for an experienced Receptionist/ Front Office Executive who will be responsible for running business errands, managing calls, maintaining ongoing business files, working with the administrative team to set up the company conference room for important meetings and assisting with creating outgoing correspondence. The ideal candidate for this position is a self-starter who can work well in a fast-paced environment.

Location: Mumbai ( BKC)

Key Responsibilities

  • Greet and welcome guests
  • Direct visitors to the appropriate person and office
  • Answer, screen and forward incoming phone calls
  • Attending calls and coordinating with the stakeholders
  • Arrange business meetings.
  • Manage and coordinate the calendar of the founders/internal teams by prioritizing and arranging internal and external meetings, ensuring appropriate briefing papers are prepared and provided.
  • Being the POC for investor meetings.
  • Working closely with the HR Team and Admin to conduct meetings for other events across locations
  • Assist with travel arrangements including booking flights, cabs, hotels, and managing itineraries for employees and visitors.
  • Maintain all hard copy and digital records for ongoing executive projects.
  • To plan and manage key organizational events.
  • Carry out all the duties with complete discretion and a high regard for confidentiality.

Requirements and Skills

  • Must have a Bachelors degree.
  • Proven work experience as a Receptionist, Front Office Executive, or similar role.
  • Proficiency in MS Office (Word, Excel, Outlook).
  • Excellent communication and interpersonal skills.
  • Strong organizational and multitasking abilities.
  • Professional attitude and appearance.
  • Ability to handle sensitive information with confidentiality.
  • Experience in handling travel and event coordination will be an added advantage.
  • Discretion and confidentiality.

NOTE: Candidates from the Hospitality Industry are preferred.
