Role & responsibilities

1. Operations & Maintenance

  • Manage day-to-day building operations including HVAC, electrical, plumbing, security, and cleaning services.
  • Schedule preventive maintenance and coordinate repairs to minimize downtime.
  • Ensure compliance with health, safety, and environmental regulations.

2. Space & Workplace Management

  • Plan and optimize office layouts, seating arrangements, and workspace utilization.
  • Oversee office moves, renovations, and expansion projects.
  • Maintain workplace aesthetics, signage, and ergonomics for employee well-being.

3. Vendor & Contract Management

  • Source, negotiate, and manage contracts with external service providers (cleaning, security, catering, maintenance, etc.).
  • Monitor vendor performance against service-level agreements (SLAs).

4. Budgeting & Cost Control

  • Prepare and manage facility budgets, including maintenance, utilities, and capital expenditures.
  • Identify cost-saving opportunities through energy efficiency and resource optimization.

5. Health, Safety & Compliance

  • Ensure adherence to corporate safety policies, local building codes, and fire safety regulations.
  • Conduct regular inspections, risk assessments, and safety drills.
  • Manage emergency response plans and business continuity procedures.

6. Sustainability & Environmental Initiatives

  • Implement eco-friendly practices such as energy-saving systems, recycling programs, and waste management.
  • Track sustainability metrics and report progress to management.

7. Technology & Systems Management

  • Use Computer-Aided Facility Management (CAFM) or Integrated Workplace Management Systems (IWMS).
  • Oversee building automation systems and smart workplace technologies.

8. Stakeholder & Employee Support

  • Act as the main point of contact for internal teams on facility-related issues.
  • Collaborate with HR and IT to support hybrid working models and employee experience initiatives.
