Role Summary
The Facilities Manager is responsible for the comprehensive management and maintenance of all technical utilities, soft services, and compliance activities within the facility. This role includes overseeing day-to-day operations, preventive and planned maintenance (PPM), emergency breakdown management, budgeting, statutory compliance, and client coordination. The ideal candidate will have extensive experience in managing diverse facility systems and services, ensuring a safe, efficient, and compliant environment.
Roles and Responsibilities
- Technical Utilities Management:
Oversee the operation and maintenance of technical utilities including transformers, generators, pumps, fire-fighting systems, public address systems, CCTV, BMS, lifts, solar power stations, chillers, HVAC systems, STP, OWC, water bodies, etc.
Plan and execute preventive maintenance (PPM) schedules, shutdowns, and emergency
breakdowns
Budget Preparation & Cost Management:
Prepare annual budgets, including cost sheets for manpower, AMC, and ad-hoc activities
Monitor expenses and ensure cost-effectiveness in all facility management activities
Develop recovery plans for common area maintenance (CAM) and other utility chargesAMC Finalisation & Vendor Management:
Finalise Annual Maintenance Contracts (AMCs) with service providers and vendors
Ensure high-quality service delivery and compliance with contract termsUtility Bill Processing & BCP Planning:
Manage utility bill processing and ensure timely payments
Develop and implement Business Continuity Planning (BCP) strategies for the facility
operationsCompliance & Statutory Records:
Maintain records of all compliance and statutory documents, including Form B, fire NOC,
DG Returns, Water Body NOC, FSSAI, consent to establish and operate, compliance
registers, lift licenses, S&E, E-waste returns, battery waste returns, HPT, food tests, IAQ
tests, and water tests. Ensure compliance with all relevant local, state, and federal
regulationsHealth, Safety & Environmental (HSE) Management:
Conduct quarterly internal and external HSE and fire safety audits, drills, and training.
Implement safety protocols and procedures to ensure a safe working environmentAnnual Power Shutdowns & Maintenance Activities:
Plan and execute annual power shutdowns and maintenance activities, including pre-
thermography, power quality analysis, loop impedance testing, DC battery loop
impedance testing, primary and secondary injection testing, earth pit tests, and all DB
and panel servicingReporting & Documentation:
Develop and maintain periodic reports such as Daily Maintenance Reports (DMR), Monthly
Maintenance Reports (MMR), Management Information Systems (MIS) reports, budget
expenses, and to-do listsProject Snagging & De-Snagging:
Oversee the snagging and de-snagging process of projects, ensuring that all issues are
addressed and resolved
Maintain a Work Management System (WMS) for risk analysis and work permitsHandover & Takeover of MEP Equipment:
Coordinate with project and liaison teams for the handover and takeover (HOTO) of MEP
equipmentClient Coordination & Recovery:
Liaise directly with clients for the recovery of CAM and other utility charges
Address client concerns and ensure satisfaction with facility servicesSoft Services Management:
Manage soft services, including manpower deployment, chemical handling and procurement
of materials, vacuuming, mopping, deep cleaning, and shampooing
13. Security Management:
Manage security for the infrastructure and common areas, ensuring a secure
environment for all occupants and visitors
Education & Skills Required
Bachelor's degree in Engineering
Minimum of 10 years of experience in facilities management, with a focus on industrial facilities
or commercial buildings
Strong technical knowledge of electrical, mechanical, and civil systems
Familiarity with compliance and regulatory requirements for facility operations
Excellent organisational, leadership, and communication skills
Ability to manage budgets and vendor relationships effectively
