A leading logistics company is seeking a highly motivated and experienced individual, preferably an Ex-Junior Commissioned Officer (JCO) or Non-Commissioned Officer (NCO) from the Army, Navy, or IAF with a Logistics and Supply Chain Management background, to take on the role of Head Documentation at our Vikhroli, Mumbai location.

This leadership role is critical for overseeing and managing all aspects of shipment documentation and operations, ensuring accuracy, compliance with international trade laws, and seamless coordination across all stakeholders.

Key Requirements

  • Background: JCO/NCO with Logistics and Supply Chain Management experience (Army/Navy/IAF).
  • Experience (Post-Retirement): 3-5 years preferred in freight forwarding documentation or a related logistics/shipping role. Exceptional candidates with less experience but strong growth potential will be considered.
  • Leadership: Strong team management, problem-solving, and quality-conscious approach.
  • Technical: Proficiency with Office Suite and experience managing Logi-sys, ERP, or freight forwarding documentation software.
  • Ambition: A self-starter with a matched ambition to grow with the company.

Core Responsibilities

Documentation & Compliance Management

  • Lead the team in the end-to-end preparation, review, and verification of all essential shipping documents.
  • Documents include, but are not limited to: Bills of Lading (BOL), Commercial Invoices, Packing Lists, Certificates of Origin, and customs declarations.
  • Ensure all documentation is strictly compliant with international trade laws, customs requirements, and regulatory bodies.
  • Support internal and external audits by maintaining accurate, organized, and readily available files and records.

Team Leadership & Operations

  • Supervise, train, and guide the documentation and operations team.
  • Manage team performance, optimize daily workflows, and implement Standard Operating Procedures (SOPs) for efficiency.
  • Proactively identify, investigate, and resolve complex documentation and operational issues to prevent shipment delays.

Stakeholder Coordination

  • Act as the primary liaison for all documentation and compliance matters.
  • Coordinate seamlessly between internal departments (Sales, Operations, Finance), clients, freight forwarders, carriers, customs brokers, and regulatory authorities.

Process Improvement & Reporting

  • Develop and implement continuous improvements to documentation procedures and systems.
  • Maintain accurate records of all documentation and transactions within the company's ERP/Documentation software.
  • Generate timely reports on documentation status, compliance metrics, and operational performance.
