Reports To: Director/Head of Operations Job SummaryThe Purchase Manager will be responsible for overseeing all procurement activities, from sourcing raw materials (precious metals, diamonds, gemstones) and finished jewellery to managing vendor relationships and ensuring cost-effective purchasing while maintaining the highest quality standards. The ideal candidate will possess deep market knowledge of the jewellery sector, strong negotiation skills, and an analytical mindset. Key Responsibilities

  • Sourcing and Supplier Management:
  • Identify, evaluate, and onboard reliable domestic and international suppliers, manufacturers, and wholesalers of gold, silver, diamonds, and various gemstones.
  • Build and maintain strong, long-term relationships with vendors.
  • Regularly review supplier performance based on quality, cost, and delivery reliability.
  • Procurement and Negotiation:
  • Develop and implement effective purchasing strategies that align with business goals and market trends.
  • Negotiate prices, contracts, payment terms, and delivery schedules to optimize costs and margins.
  • Track market trends and fluctuations in raw material costs to make informed buying decisions and forecast price changes.
  • Quality Control and Compliance:
  • Evaluate product quality (e.g., the 4Cs of diamonds, gemstone grading) before purchase and ensure compliance with company standards.
  • Verify all certifications (GIA, IGI, etc.) and ensure compliance with legal and ethical standards, including import/export procedures if applicable.
  • Conduct regular quality audits of purchased goods.
  • Inventory and Operations Coordination:
  • Collaborate with production, design, sales, and inventory teams to understand material requirements and ensure a smooth supply chain.
  • Monitor stock levels and manage purchase orders to maintain optimal inventory levels and prevent shortages or overstocking.
  • Oversee the entire purchase function from sourcing to final receipt and documentation.
  • Documentation and Reporting:
  • Maintain accurate records of all purchases, pricing, and supplier details.
  • Prepare purchase orders and track their performance.
  • Analyze spending, track key metrics, and prepare reports for senior management.

Required Skills & Qualifications

  • Experience: Minimum 5-7 years of proven experience in a purchasing or procurement role within the jewellery industry is mandatory.
  • Knowledge: Deep understanding of diamonds, precious/semi-precious stones, gold, silver, and jewellery components (findings, tools, etc.).
  • Skills:
  • Exceptional negotiation and vendor management skills.
  • Strong analytical and decision-making abilities, with attention to detail.
  • Proficiency in MS Office (especially Excel); experience with procurement software or ERP systems is a plus.
  • Excellent communication (verbal and written) and interpersonal skills.
  • Strong leadership qualities to manage a buying team.
  • Education: A Bachelor's degree in Business Administration, Supply Chain Management, Gemology, or a related field is typically required. A diploma or certification in Diamond Grading or Gemology is preferred.
