Reports To: Manager Sales
Job Overview:
We are seeking a detail-oriented and proactive Tender Executive to manage and coordinate the tendering process for our organization. The ideal candidate will be responsible for preparing, reviewing, and submitting tender documents, ensuring compliance with all requirements, and supporting the business development team in securing new contracts and opportunities.
Key Roles & Responsibilities:
- Tender Preparation: Review and analyze tender documents, including request for proposals (RFPs), request for quotations (RFQs), and invitations to tender (ITTs). Prepare comprehensive and compliant tender submissions.
- Documentation Management: Ensure all required documentation is complete, accurate, and submitted on time. Maintain organized records of tender documents, correspondence, and submissions.
- Coordination: Coordinate with internal departments (e.g., finance, legal, operations) to gather necessary information and support the preparation of tender responses.
- Compliance: Ensure that tender responses comply with all regulatory, contractual, and organizational requirements. Address any compliance issues or discrepancies.
- Proposal Development: Collaborate with subject matter experts to develop technical and commercial proposals. Ensure proposals are well-structured, persuasive, and tailored to the client's requirements.
- Bid Monitoring: Track and monitor tender opportunities and deadlines. Maintain an up-to-date database of upcoming tenders and manage the tender calendar.
- Stakeholder Communication: Communicate with clients, vendors, and internal teams regarding tender requirements, clarifications, and updates. Build and maintain relationships with key stakeholders.
- Bid Analysis: Assist in evaluating bid outcomes and analyzing competitor bids. Provide insights and recommendations for improving future tender submissions.
- Reporting: Prepare and present reports on tender activities, including success rates, key performance indicators, and lessons learned.
Qualifications:
- Education: Bachelor's degree in Business Administration, Procurement, or a related field, or equivalent work experience.
- Experience: 2-3 years of experience in tendering, procurement, or business development, with a strong understanding of the government tendering process and GEM.
- Skills: Proficiency in Microsoft Office Suite (e.g., Word, Excel, PowerPoint) and tender management software.
Strong analytical and organizational skills.
Excellent written and verbal communication skills.
- Soft Skills: Ability to work under pressure and manage multiple deadlines.
Strong attention to detail and problem-solving skills.
Effective teamwork and collaboration abilities.
Preferred Skills:
- Experience with specific industry tenders or sectors relevant to your organization.
- Familiarity with tender and procurement regulations and best practices.
- Knowledge of project management principles.
