Executive Assistant to Director

Key Responsibilities :

1. Calendar & Schedule Management

  • Maintain and organize Dr. Yash's daily, weekly, and monthly schedule.
  • Prioritize appointments, patient consultations, internal meetings, and travel.
  • Ensure no overlaps, delays, or missed commitments.
  • Maintain reminders and follow-ups proactively.

2. Communication & Coordination

  • Act as the primary point of contact between the Director and all departmental heads (clinical, HR, finance, outreach, marketing).
  • Draft and respond to professional emails, WhatsApp communications, and meeting summaries.
  • Ensure all messages reach the Director with proper context, priority, and action required.
  • Handle confidential communication with discretion.

3. Operational Support

  • Monitor ongoing tasks, deadlines, and projects across departments and update the Director.
  • Ensure policies, instructions, and decisions made by Dr. Yash are communicated and implemented.
  • Coordinate with HR for staff issues, hiring, new onboarding, and leave approvals.
  • Assist in planning events, workshops, IPD operations, and outreach programs.

4. Documentation & Reporting

  • Prepare reports, presentations, and documentation required by the Director.
  • Maintain organized records, minutes of meetings, and follow-up trackers.
  • Keep documentation for approvals, performance tracking, and internal communication.

5. Social Media & Branding

  • Oversee Dr. Yash's professional presence – LinkedIn, Instagram, clinic branding posts.
  • Coordinate content ideas, photoshoots, reels, patient stories with the marketing team.
  • Maintain consistency with Walnut & Apricot brand guidelines.

6. Negotiation & Vendor Management

  • Interact with vendors, suppliers, and service providers on behalf of the Director.
  • Negotiate pricing, timelines, and contracts with professionalism and clarity.
  • Maintain a database of vendors and ensure timely payments and delivery.

7. Departmental Bridge

  • Serve as the communication bridge between Dr. Yash and the clinic heads.
  • Ensure departmental escalations, conflicts, or issues are streamlined and resolved.
  • Track progress of assigned tasks and report back regularly.

8. Travel, Meetings & Event Planning

  • Plan and organize travel itinerary, accommodation, and logistics for Dr. Yash.
  • Prepare pre-meeting notes, talking points, and post-meeting action summaries.
  • Assist in planning internal events, IPD launch, monthly meetings, and training sessions.

9. Quality Control & Efficiency

  • Maintain a culture of punctuality, discipline, and follow-through.
  • Identify gaps or inefficiencies in processes and suggest improvements.
  • Ensure the Director's time is utilized effectively without repetitive tasks or negligence.

10. Confidentiality & Professionalism

  • Handle sensitive information with integrity.
  • Maintain professional conduct, maturity, and careful attention to detail at all times.

Job Types: Full-time, Permanent, Fresher

Pay: ₹15, ₹20,000.45 per month
