Job description

We are seeking a highly organized, proactive, and detail-oriented Manager Administration and HR. This role is pivotal in ensuring the Director's schedule, communications, and administrative functions run smoothly. The ideal candidate is resourceful, tech-savvy, discreet, and thrives in a fast-paced environment.

Key Responsibilities:

  • Calendar & Schedule Management: Coordinate and manage the appointments, meetings, and travel arrangements.
  • Meeting Preparation & Follow-Up: Organize meetings including preparing agendas, documents, presentations, and minutes. Follow up on action items and ensure timely execution.
  • Communication Management: Act as a liaison between the Director and internal/external stakeholders. Draft, review, and manage emails and other correspondence. Handle confidential documents and sensitive information with discretion. Prepare reports, maintain filing systems, and manage administrative workflows. Assist with tracking departmental projects, timelines, and deliverables. Support cross-functional collaboration as needed. Arrange travel itineraries, accommodations, and expense reports in compliance with company policies. Support internal event planning, team off sites, or executive sessions. Coordinate logistics and liaise with vendors when required.
