About the Role
We are seeking a highly experienced
US HR & Accounts Manager
with strong expertise in
US staffing operations
,
HR management
,
timesheet & payroll administration
, and
accounts coordination
.
The ideal candidate will have
5+ years of hands-on experience
managing end-to-end US HR processes, working directly with consultants, clients, and accounting teams in a staffing/consulting environment. This role demands strong leadership, process ownership, accuracy, and excellent communication.
Key Responsibilities
US HR Operations (Manager Level)
- Lead and manage complete
US HR operations
for consultants and internal employees. - Oversee onboarding, employee documentation, HR file management, and ongoing HR compliance.
- Maintain HRIS systems and ensure data accuracy for US workforce.
- Manage
attendance, PTO, leave tracking, shift schedules
, and HR communications. - Resolve employee queries, consultant issues, and client coordination for HR-related matters.
- Drive adherence to
US labor policies, HR compliance
, and audit requirements. - Manage HR escalations and ensure smooth employee lifecycle management.
Timesheet & Payroll Management
- Oversee the end-to-end
weekly/bi-weekly/monthly timesheet cycle
. - Validate hours, follow up with consultants & clients, and resolve discrepancies.
- Ensure accurate payroll inputs for US payroll teams.
- Manage payroll coordination for W2, C2C consultants, and internal employees.
- Track overtime, expenses, and ensure 100% accuracy in payroll submissions.
US Accounts & Billing
- Manage
invoice preparation
based on approved timesheets. - Handle
accounts receivable/payable
, payment follow-ups, and reconciliation. - Work extensively on
QuickBooks
for accounting entries, billing cycles, and reports. - Support
month-end closing
, financial documentation, and audit requirements. - Maintain financial accuracy and documentation as per US compliance standards.
Compliance, Taxation & Immigration Support
- Support
basic US taxation requirements
related to payroll & accounts. - Assist with
immigration documentation
(OPT, CPT, H1B, STEM, I-9, E-Verify) when required. - Maintain all HR, payroll, and financial records in compliance with US regulatory guidelines.
- Work closely with US clients, vendors, and internal teams for updates and issue resolution.
Required Skills & Qualifications
- 5+ years of experience
in US HR operations, payroll, and accounts within the
US staffing/consulting industry
. - Strong expertise in
timesheet & payroll cycles (W2, C2C, 1099)
. - Proficiency in
QuickBooks
, invoicing, and billing management. - Solid understanding of
US HR compliance
, labor laws, and basic taxation. - Excellent
communication skills
, ability to handle client and employee interactions. - Strong analytical skills, accuracy, and problem-solving ability.
- Ability to lead processes, work independently, and manage US shift schedules.
Good to Have
- Knowledge of
immigration processes
and consultant onboarding (H1B, OPT, CPT, GC/EAD). - Experience managing multiple accounts/clients simultaneously.
- Exposure to HR audits, compliance reporting, and internal process improvements.
