About the Role
We are seeking a motivated and detail-oriented
Entry-Level HR Executive
to support our Human Resources operations. This role is ideal for early-career professionals who want hands-on exposure to U.S. HR processes, compliance, onboarding, documentation, audits, and employee support. The candidate will assist in recruitment, onboarding, tax documentation, visa understanding, contract handling, and HR record maintenance.
Key Responsibilities
Recruitment & Onboarding
- Assist with job postings, sourcing, resume screening, and interview coordination.
- Manage onboarding activities including new hire paperwork, orientation scheduling, and welcome communication.
- Handle employment eligibility verification, including
I-9 completion and E-Verify processes
. - Assist new hires with
W-4
and payroll setup; maintain understanding of
W-2 forms
. - Coordinate background checks, reference checks, and ensure compliance with company standards.
HR Documentation & Compliance
- Maintain accurate employee records in HRIS systems.
- Support HR audits by preparing required documentation and ensuring compliance.
- Understand basic
U.S. tax terms
, including
W-2, 1099, C2C (Corp-to-Corp)
arrangements. - Assist in collecting, organizing, and processing HR contracts.
- Assist with contract-related documents such as
MSA (Master Service Agreement)
and
PO (Purchase Order)
workflows.
Employee Support & Relations
- Respond to general HR inquiries professionally and confidentially.
- Help coordinate employee engagement activities and training programs.
- Provide support for benefits enrollment and related employee questions.
Immigration & Visa Coordination (Basic Knowledge)
- Maintain a working understanding of common
U.S. visa types (H-1B, L-1, F-1, OPT, CPT, GC, etc.)
. - Assist with documentation requests and coordination with immigration partners when needed.
HR Operations
- Assist with timesheet verification and payroll support as needed.
- Participate in internal audits, ensuring all HR processes adhere to federal and state guidelines.
- Support continuous HR process improvements.
Qualifications
Education
- Bachelor's degree in Human Resources, Business Administration, Psychology, or a related field.
Skills
- Knowledge of onboarding processes and HR documentation.
- Basic understanding of:
- I-9, W-4, W-2 forms
- C2C and other U.S. tax terms
- Contracts, MSAs, POs
- Visa types and immigration basics
- Background verification processes
- Internal and external audit requirements
- Strong communication and interpersonal skills.
- Excellent organizational and time-management abilities.
- Ability to maintain confidentiality and deal with sensitive information.
- Proficiency in Microsoft Office Suite; familiarity with HRIS systems is a plus.
