Job Description Manager (KEKA Specialist) Designation: Manager – KEKA Specialist Location: Head Office, Bhubaneswar Reports To: Head – People & Culture / HRBP – Strategic Compliance & Change Management (as per functional reporting lines) Span of Control: HR Associates / Executives handling specific modules (as assigned) Role Purpose The Manager – KEKA Specialist will be the end-to-end owner of EMPHORIA's HRMS ecosystem (KEKA platform), ensuring complete automation, integration, and disciplined usage of KEKA across all verticals (EPC, Logistics, Fabrication, Real Estate, O&M, and Future Ventures). The role requires technical-functional mastery of KEKA modules (PMS, Payroll, Recruitment, Employee Lifecycle, Attendance/Leave, Training, Compliance, and Analytics) while aligning system workflows with EMPHORIA's policies, Delegation of Authority (DOA/DOP), and business objectives. The position acts as the single-point custodian for HR technology implementation, ensuring KEKA is not just an administrative tool but a strategic enabler of performance, accountability, and organizational excellence. Key Responsibilities 1. KEKA System Ownership & Governance End-to-end implementation, customization, and optimization of all KEKA modules. Align workflows with EMPHORIA's HR policies, SOPs, DOA/DOP, PMS framework, and audit requirements. Ensure 100% adoption and disciplined usage of KEKA across all departments and businesses. Regularly update organizational structures, reporting lines, grade structures, and job roles in the system. Establish strict access controls, audit trails, and data security in line with internal audit and compliance protocols. 2. Performance Management System (PMS) Design, configure, and administer KRAs, KPIs, and appraisal cycles in KEKA aligned with business targets. Automate goal-setting, continuous feedback, mid-year reviews, and annual appraisals. Integrate PMS outcomes with variable pay, promotions, and talent development plans. Generate real-time dashboards and analytics for CXO-level decision-making. 3. Talent Acquisition & Hiring Configure KEKA's ATS module to streamline recruitment workflows, requisition approvals, interview scheduling, and offer rollouts. Create job requisition templates, manage candidate pipelines, and ensure compliance with hiring SOPs. Integrate background verification, onboarding, and induction seamlessly into KEKA. Maintain real-time recruitment analytics (time-to-fill, cost-per-hire, source effectiveness). 4. Training & Development (L&D) Implement KEKA's LMS module for training calendars, course allocations, and e-learning programs. Track completion, participation, and skill enhancement metrics. Link T&D plans with PMS outcomes and career progression frameworks. Coordinate with functional heads to design role-based training modules. 5. Payroll & Compliance End-to-end ownership of payroll processing within KEKA (input validation, CTC structuring, variance analysis, disbursement). Ensure 100% statutory compliance (PF, ESIC, PT, LWF, Gratuity, Bonus, IT, etc.) through KEKA integration. Reconcile payroll with Finance/Accounts monthly; maintain clean ledgers and audit readiness. Implement full automation for reimbursements, claims, and settlements. 6. Employee Lifecycle & Engagement Manage employee lifecycle (hire-to-retire) entirely within KEKA — from onboarding to exit management. Automate leave, attendance, shift rosters, WFH/WFO approvals, travel & expense modules. Track engagement surveys, feedback forms, redressal mechanisms, and internal communication channels via KEKA. Ensure exit clearance, F&F settlement, and knowledge handover are executed as per DOA/DOP. 7. Analytics, Reporting & Audit Support Deliver real-time HR dashboards on attrition, headcount, recruitment, payroll, and PMS to management. Integrate KEKA data with financial systems for cost-to-company and manpower cost analytics. Support internal/external audit with accurate system-driven reports and compliance evidence. Recommend data-driven HR strategy based on KEKA analytics.
