Job Role - Purchase Executive

Location : Jogeshwari Mumbai

Industry: Ready-Made Garment Export

Job Type: Full-time

Who should apply: Candidates Staying between Bhayander to Churchgate. Our Office is 10 min walk from Station.

1. Vendor Identification and Development

Identify, evaluate, and onboard reliable vendors for fabric, trims, accessories, and other materials.

Ensure vendors comply with buyer standards (quality, compliance, ethical sourcing).

2. Requesting and Comparing Quotations

Float inquiries to a minimum of three approved vendors.

Collect and compare at least three competitive quotes for each material.

Ensure the quotes are received within the specified timeline.Maximum time needed if Trimes & Accessories 24~48 hrs. If Fabric 48~72 hrs.

Maintain quote comparison sheets highlighting pricing, delivery lead time, payment terms, and quality certifications.

3. Buyer Standard Compliance

Ensure all materials meet the technical specifications, quality standards, and compliance norms as per the buyer's requirements.

Communicate buyer-specific approvals, color standards, and certifications to vendors in advance.

4. Cost Negotiation and Finalization

Negotiate competitive pricing without compromising quality.

Document and get approvals from Mr. Dipen Or Ms Neha in writing for final costs before issuing purchase orders.

5. Timely Reporting

Submit quote comparison and final supplier selection within the required timeframe.

Maintain a purchase tracker and share weekly updates with management and merchandising team.

Highlight any delays or deviations from buyer standards immediately.

Also Maintain tracker for Quotes asked of which item from which vendor & when. Its critical to also maintain this since everyday lost is a lost day to start production.

6. Purchase Order (PO) Management

Issue POs as per approved samples and negotiated terms.

Ensure correct order quantities, delivery dates, and specifications are mentioned in the PO.

7. Delivery Follow-up and Coordination

Regular follow-up with vendors for on-time delivery.

Coordinate with stores, QA, and production for material inspection and inwarding.

8. Record Maintenance

Keep a record of all quotations, approvals, POs, and communication.

Ensure data is audit-ready and accessible for review.

Majority of the Record maintenance should be done through our ERP. Incase our ERP has limitations then Maintining record through other system. But Get this verified by Manager

9. Quality Audit

Ensure Materials, Trims,Fabrics ordered when recd is Audited for Qty ,Color, Quality Standards, As per timeline given & anyother testing required by the buyer.

Requirements :

Bachelor's degree in Commerce / Supply chain / Business Administration or related field.

Proven experience as a Purchase Executive or in procurement

Strong negotiation and communication skills.

Proficiency in MS Office, ERP / inventory management software.

Attention to detail with strong analytical and organizational skills.

Job Type: Full-time

Pay: ₹15, ₹25,000.00 per month
