Job Summary

Reporting to the Manager of Taxation, the Parttime Customer Service Representative is responsible for timely and accurate processing of payments received at the front counter and through the mail, as well as providing excellent customer service to internal and external customers, including taxpayers. This position is knowledgeable in general and detailed information on taxation and property assessment and is able to effectively handle customer complaints.

Job Duties Include

The responsibilities and duties of this position include but are not limited to:

  • Accepts and processes taxation and account receivable payments and other Town revenues received by mail and drop box using both JD Edwards and VTAX

  • Updates taxpayer accounts and issue receipts 

  • Provides statement of accounts and duplicate receipts as requested

  • Balances cash receipt totals to control report daily to ensure data entry accuracy 

  • Provides prompt, accurate responses to customers, departments, and lawyer inquiries related to taxation issues, assessment etc., both at counter and on phone

  • Provides assistance to the general public including referring them to appropriate departments or other levels of government as needed

  • Ensures timely and accurate responses to requests from mortgage companies on arrears or balances of tax accounts

  • Updates information in regards to any mortgage company and mortgage number changes, additions and deletions into the VTAX database

  • Receives and enters all tax adjustments ensuring proper authorizations are obtained

  • Receives postdated cheques, reviews for accuracy, posts in VTAX for appropriate date and files in appropriate date

  • Maintains database of new and pulled cheques to ensure all information is up to date

  • Other administrative duties or special projects assigned by Manager of Taxation

Qualifications/Skills

  • Minimum Grade 12 high school diploma

  • Two years' experience in a computerized, municipal environment (preferably in taxation) performing high volume processing of payments (cash, cheques and debit)

  • High level of accuracy and attention to detail required for data entry and review of data entry

  • Ability to work in a fast-paced environment with strict adherence to the established daily cash receipting policies and procedures

  • Working knowledge and technical skills working with Microsoft Excel

  • Strong communication skills both written and verbal

  • Excellent customer service skills

  • Compensation: We offer competitive pay that reflects the responsibilities of the position.

  • Hours of Work: This is a non-union position that works 24 hours per week.   The hours of work are Monday to Thursday from 9:30 a.m. – 2:30 p.m. and Friday from 10:00 a.m. – 2:00 p.m. Please note this position will be required to work full time hours (Monday to Friday from 8:30 a.m. to 4:30 p.m.) during tax due weeks and during peak vacation periods, up to 20 weeks per year.
