Role Overview
We are seeking a highly organized and discreet Personal Assistant / Secretary to provide comprehensive support to the Director. The role demands exceptional communication skills, strong attention to detail, and the ability to manage multiple priorities in a professional and efficient manner. The ideal candidate will serve as a reliable point of coordination, ensuring seamless management of the Directors professional commitments.
Key Responsibilities
- Efficiently manage the Director's calendar, including scheduling and coordinating appointments, meetings, and events.
- Arrange and oversee domestic and international travel, including ticketing, hotel reservations, visas, and itinerary planning.
- Prepare and organize meeting materials, draft agendas, record minutes, and track follow-up actions.
- Handle all correspondence, communication, and documentation with the highest level of confidentiality.
- Act as the primary liaison between the Director and internal/external stakeholders, ensuring timely and effective communication.
- Provide day-to-day administrative assistance and address miscellaneous requirements with professionalism and discretion.
- Support in preparing reports, presentations, and other executive-level documentation.
- Anticipate needs and proactively resolve issues to enable the Director to focus on strategic priorities.
Candidate Profile
- Graduate in any discipline; additional qualifications in administration or secretarial practices preferred.
- Minimum 5 years of proven experience as a PA, Executive Assistant, or Secretary in a corporate environment.
- Excellent command over written and spoken English; strong interpersonal and presentation skills.
- High level of professionalism, integrity, and discretion in handling confidential information.
- Strong organizational and time-management skills with the ability to work under pressure.
- Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook) and digital scheduling tools.
- Positive, confident, and professional demeanor with the ability to represent the office of the Director effectively.
