Job Title: Personal Assistant to Director of Marketing

Job Summary
We are seeking a highly organized, proactive, and resourceful Personal Assistant to support the Director of Marketing in daily operations, project coordination, and communication management. This role requires a detail-oriented individual who thrives in a fast-paced environment and can handle multiple priorities efficiently while maintaining confidentiality and professionalism.
Key Responsibilities1. Administrative & Executive Support
- Manage the Director's calendar, appointments, and travel arrangements.
- Prepare meeting agendas, minutes, presentations, and follow-up action items.
- Handle expense reports, vendor invoices, and reimbursements.
- Maintain a well-organized filing system (physical and digital).
2. Communication & Coordination
- Act as the primary point of contact between the Director and internal/external stakeholders.
- Draft, review, and manage emails, memos, and reports.
- Coordinate with internal teams (Sales, Design, Operations, Finance) to ensure smooth information flow.
3. Project Assistance
- Assist in managing marketing campaigns, events, and promotional activities.
- Track project timelines, deliverables, and budgets, ensuring deadlines are met.
- Conduct market or competitor research as required.
4. Reporting & Documentation
- Maintain performance trackers and prepare regular progress reports for the Director.
- Support in data collection, presentation preparation, and performance analysis.
5. Confidential Support
- Handle sensitive business information with discretion and integrity.
- Maintain confidentiality of strategic plans and client information.
Qualifications & Skills
- Bachelor's degree in Business Administration, Marketing, Communications, or related field.
- 2–4 years of experience as an Executive Assistant, Personal Assistant, or similar role, preferably in a marketing or corporate environment.
- Excellent written and verbal communication skills.
- Strong organizational and time management skills with the ability to multitask effectively.
- Proficiency in Microsoft Office Suite, Google Workspace, and project management tools (e.g., Trello, Asana, ).
- High level of professionalism, discretion, and attention to detail.
- Ability to work independently and adapt to changing priorities.

- Experience in the marketing, advertising, or creative industry.
- Basic knowledge of marketing processes, trends, and terminology.
- Strong problem-solving skills and a proactive mindset.
