Key Responsibilities

  • Office Facilities Management: Oversee the maintenance, repairs, cleanliness, security, and

overall upkeep of office facilities. Coordinate with external service providers to ensure

compliance with standards and timely resolution of issues.

  • Staff Supervision: Supervise support personnel, including housekeeping, security, and

drivers, to guarantee adherence to assigned schedules, responsibilities, and performance

expectations.

  • Asset and Inventory Management: Maintain comprehensive records of office assets,

equipment, and inventory. Facilitate timely procurement, servicing, and disposal processes

in accordance with company policies.

  • Vendor and Contract Liaison: Engage with vendors and service providers to obtain

quotations, negotiate contracts, and manage service-level agreements (SLAs) for optimal

service delivery and cost efficiency.

  • Travel and Logistics Coordination: Arrange travel bookings, accommodations, and

transportation for staff and visitors, ensuring alignment with company policies and

budgetary constraints.

  • Record-Keeping and Documentation: Maintain accurate and up-to-date records of

administrative activities, including contracts, licenses, insurance policies, and other essential

documents.

  • Budget and Expense Management: Assist in the preparation and monitoring of the

administrative budget. Track expenses, identify opportunities for cost optimisation.

  • Cross-Departmental Support: Provide administrative assistance to HR, Finance, and other

departments as needed, including coordination for employee onboarding, procurement

activities, and logistics operations.

  • Accounting Duties: Handle basic accounting tasks such as invoice processing, accounts

payable/receivable management, petty cash reconciliation, and preparation of financial

statements or reports under the guidance of the finance team. Ensure compliance with

relevant financial regulations and internal controls.

  • Compliance and Reporting: Ensure all administrative and accounting activities adhere to

legal, regulatory, and company standards. Generate periodic reports on operational

efficiency and financial health for management review.

Qualifications and Skills

  • Education: Bachelors degree
  • Experience: Minimum 1-3 years of experience in general administration
  • Soft Skills: Strong organizational and multitasking abilities, excellent communication and

negotiation skills, attention to detail, and a problem-solving mindset. Ability to work

independently and collaboratively in a team environment.

  • Other Requirements: Knowledge of local regulations related to office administration and

finance. Willingness to handle occasional travel or after-hours tasks as required
