We are seeking a proactive and hands-on Operations Executive to manage day-to-day operations of our coal transportation fleet (10+ vehicles, expanding rapidly). The candidate will be responsible for handling drivers, vehicle maintenance, transporter coordination, and route management to ensure smooth and timely deliveries from mines to plants or railway sidings (within 50 km leads).

This role requires field involvement, strong coordination skills, and the ability to make quick decisions under pressure.

Key Responsibilities:

Driver & Fleet Management

  • Manage daily activities of drivers ensure attendance, trip tracking, and discipline.
  • Handle driver hiring, rotation, and replacement (maintain active driver network).
  • Maintain driver database with license, ID, and trip records.
  • Ensure proper utilization of vehicles and track daily performance.

Vehicle Maintenance Coordination

  • Monitor routine maintenance and small repairs (oil change, tyre, clutch, brake, etc.).
  • Coordinate with local mechanics and workshops for breakdowns or spare replacements.
  • Maintain logbook of vehicle service, repair, and fuel usage.
  • Identify recurring mechanical issues and suggest preventive steps.

Transport Operations

  • Plan and schedule vehicle dispatches for coal transportation (mine plant/siding).
  • Communicate daily with supervisors, clients, and transporters for trip status.
  • Collect and verify loading/unloading slips and documents.
  • Monitor movement, ensure timely delivery, and minimize vehicle idle time.
  • Report trip details and rates to management daily.

Transporter & Market Coordination

  • Stay updated with current coal transport rates in the region.
  • Build and maintain good relationships with transporters, brokers, and contractors.
  • Negotiate and finalize best rates for short-lead routes (30–50 km).
  • Gather market intelligence on demand, fuel cost, and lane activity.

Reporting & Documentation

  • Maintain trip sheets, driver payment register, and transporter ledgers.
  • Use Excel/Google Sheets for daily reporting of trips, diesel usage, and repairs.
  • Prepare weekly MIS (vehicle-wise utilization and cost summary).

Key Skills Required

  • Experience in coal / minerals / transportation industry (mandatory).
  • Knowledge of truck/trailer maintenance and local workshops.
  • Strong people skills — must be able to manage drivers and field staff effectively.
  • Basic knowledge of Excel, WhatsApp communication, and reporting.
  • Good communication in Hindi and basic English (for coordination).
  • Understanding of rates, billing, and operational costs preferred.

Qualification & Experience

  • Graduate / Diploma in any stream (Mechanical or Automobile preferred).
  • 1–3 years of experience in coal transportation or fleet operations.
  • Candidates with good driver network in Singrauli / Chhattisgarh region will be preferred.
