Job Description – MIS Executive

Department:

Head – Marketing & Strategy

Location:
Central MIS Office (Aastha Hospital, Vikaspuri) with coordination for Maccure Janakpuri & Dwarka branches

Role Objective

To maintain accurate and real-time data across hospital branches by tracking marketing leads, patient conversions, and revenue contribution. The MIS Executive ensures that daily, weekly, and monthly dashboards reflect performance accuracy and help management make timely, data-driven decisions.

Key Responsibilities

1. Lead & Marketing Data Tracking

  • Collect daily data from all digital and offline lead sources (Google, Meta, AiSensy, Practo, JustDial, Referral, Walk-in).
  • Maintain and update the
    central Lead Tracker Sheet
    with accurate lead status (New, Follow-up, Converted, Lost).
  • Prepare
    daily lead summary
    reports for Aastha, Maccure Janakpuri, and Maccure Dwarka.
  • Record conversion reasons and drop-off remarks to improve campaign targeting.
  • Share a
    daily report by 10:00 AM
    summarizing leads, calls, and appointments.

2. Call Centre Performance Reports

  • Extract daily data from
    AiSensy and call centre logs
    (calls received, missed, connected, follow-ups).
  • Generate
    branch-wise and counsellor-wise performance sheets.
  • Track TAT (Turnaround Time) and missed-call closures.
  • Highlight unresponded leads and coordinate with counsellors for timely follow-ups.

3. Revenue & Conversion Analytics

  • Match converted leads with billing data to track
    source-wise revenue
    .
  • Coordinate with the billing team to map
    enquiry → appointment → admission → revenue
    flow.
  • Prepare
    weekly ROI reports
    for each running campaign.
  • Compare
    lead quality vs. conversion %
    to guide marketing adjustments.

4. Dashboard & Data Management

  • Maintain
    Google Sheets or Excel dashboards
    with all daily and monthly metrics.
  • Use formulas (Pivot, VLOOKUP, CountIF, etc.) to automate summaries.
  • Generate
    doctor-wise, package-wise, and source-wise conversion sheets.
  • Ensure all sheets are formatted and backed up weekly.

5. Coordination & Communication

  • Work closely with call centre staff, marketing executives, and billing teams.
  • Coordinate data flow between
    Janakpuri, Dwarka, and Aastha
    branches.
  • Assist in management reviews with consolidated reports.
  • Maintain confidentiality of patient, billing, and referral data.
