Job Summary:
The Payroll Executive will be responsible for end-to-end payroll processing for a workforce of approximately 1,500 employees.
This role requires strong collaboration with HR Business Partners (HRBPs), finance teams, and external consultants to ensure accurate, timely, and compliant payroll management. The incumbent will also handle statutory filings, employee KYC, taxation, and related documentation in line with applicable laws and organizational policies.
Key Responsibilities:
Payroll Processing
- Collate and validate payroll inputs including attendance, variable pay, reimbursements, and deductions in coordination with HRBPs and business units.
- Process monthly payroll accurately and on schedule using Zoho People and Payroll (preferred) or other HRMS tools.
- Reconcile payroll data, verify computations, and ensure accuracy in payslips, salary disbursements, and statutory deductions.
- Handle full and final settlements for exiting employees, ensuring accuracy in calculations and statutory compliance.
Statutory Compliance & Filings :
- Manage all statutory compliances related to payroll including PF, ESI, PT, LWF, Gratuity, and Bonus.
- Ensure timely filing and submission of monthly, quarterly, and annual returns in collaboration with labor consultants.
- Oversee TDS calculations, quarterly TDS filings, and issuance of Form 16 annually.
- Liaise with labor consultants and government authorities for compliance, inspections, and responding to any statutory notices. Employee Data Management
- Oversee new joiner enrollments for statutory benefits (PF, ESI, etc.) and KYC updates in the payroll system.
- Maintain accurate payroll records, employee master data, and statutory registers.
- Process employee claims, reimbursements, and statutory benefits in line with company policy.
- Collaboration & Reporting
- Work closely with HRBPs for data compilation, verification, and query resolution.
- Generate payroll-related MIS and reports for finance and management.
- Support internal and statutory audits by providing payroll data and documentation as required.
Qualifications & Skills:
- Bachelors degree in Commerce, HR, Finance, or a related field.
- 5 years of experience in end-to-end payroll processing, preferably in an ITES or large service organization.
- Strong knowledge of Indian payroll regulations, income tax laws, and statutory compliances.
- Hands-on experience with Zoho People and Payroll (preferred).
- Proficiency in MS Excel and payroll reconciliations.
- Excellent attention to detail, time management, and stakeholder collaboration skills.
- Ability to maintain confidentiality and handle sensitive employee data responsibly.
