Job Title: Loan Document Processing Manager / Associate Vice President

Department: Loan Operations / Lending Services

Reports To: COO

Position Summary

The Loan Document Processor is responsible for reviewing, preparing, and processing loan documentation to ensure accuracy, compliance, and timely completion. This role requires strong attention to detail, organizational skills, and knowledge of lending regulations and procedures. The Loan Document Processor works closely with loan officers, underwriters, and customers to ensure that all required documents are complete and accurate prior to loan closing.

Key Responsibilities

  • Document Review & Preparation

  • Receive loan applications and supporting documentation from loan officers or customers.

  • Verify completeness, accuracy, and compliance with lending policies and applicable regulations.

  • Prepare, assemble, and process loan documents for approval and closing.

  • Compliance & Quality Control

  • Ensure all loan packages meet internal guidelines and regulatory requirements

  • Identify missing, incorrect, or incomplete information and follow up with appropriate parties for corrections.

  • Maintain a thorough understanding of loan product requirements and lending regulations.

  • Coordination & Communication

  • Communicate with borrowers, title companies, and internal departments to resolve documentation issues.

  • Provide updates to loan officers and managers on the status of loan packages.

  • Coordinate with underwriting to obtain required approvals.

  • Recordkeeping & Systems Management

  • Enter and update loan information into the loan processing system.

  • Maintain organized and secure electronic and physical loan files.
  • Track and follow up on outstanding conditions until file is ready for funding.

Qualifications

Education & Experience:

  • Bachelor of Commerce
  • Experience in loan processing work / accounts will be preferred

Skills & Competencies:

  • Strong attention to detail and accuracy.
  • Excellent organizational and time management skills.
  • Working knowledge of lending procedures, documentation, and compliance requirements.
  • Proficiency with loan origination systems (LOS) and Microsoft Office Suite.
  • Strong communication and problem-solving skills.
  • Ability to handle confidential information with integrity.

Work Environment & Schedule

  • Full-time, MondayFriday from 8am to 5 pm; occasional overtime may be required during peak workloads. Saturday usually an off day. However, need to wok on some Saturdays, if workload is heavy

  • Accuracy rate of loan documentation.
  • Turnaround time for processing loan packages.
  • Compliance with regulatory requirements and internal policies.
  • Customer and internal stakeholder satisfaction.
