Job Summary:
The Front Desk Executive & HR Admin role is a hybrid position that combines customer service duties with administrative support in the Human Resources (HR) department. The individual will be responsible for managing the front desk, greeting visitors, handling phone calls, and performing various HR administrative tasks such as maintaining employee records, assisting with recruitment, and supporting HR functions.
Key Responsibilities:
Front Desk Executive Duties:
- Visitor Reception: Greet visitors, clients, and guests in a professional and friendly manner. Ensure all visitors are signed in, provided with appropriate badges, and directed to the right departments or meeting rooms.
- Phone Management: Handle incoming calls, transfer them to the relevant departments or personnel, and take messages when necessary.
- Appointment Scheduling: Coordinate and manage appointments, meeting schedules, and room bookings for staff and visitors.
- Administrative Support: Perform clerical tasks such as filing, maintaining office supplies, managing mail, and ensuring smooth office operations.
- Mail and Deliveries: Sort and distribute incoming mail and packages, as well as send outgoing correspondence as required.
- Security Management: Monitor visitor access and maintain visitor logs. Ensure that security procedures are followed and the workplace remains safe.
