Role & responsibilities

Role Description:

This role performs all payroll duties for the India including processing, validation of payroll data, reviewing and auditing of output reports, pay slips, final reports, Statutory compliances PF, ESI, PT, LWF, Minimum Wages, Income Tax calculation, Income Tax Return Filling etc. This role also responds to general inquiries related to company and payroll related matters.

Key Responsibilities:

  • Be knowledgeable about and understand new legislation impacting payroll.
  • Implements, maintains, and reviews payroll processing systems to ensure timely and accurate processing of payroll transactions including salaries, benefits, taxes, and other deductions.
  • Ensure smooth payroll processing by calculating final payroll, full & final settlements, stop payments, unpaid wages, stipend, over time, statutory bonus, 3rd party payments, employee investment declarations etc.
  • Ensures accurate and timely processing of payroll updates including new hires, terminations, salary revision & Minimum Wages revisions and flexi benefits plan.
  • Ensures compliance with central, state, and local payroll, wage, and labour laws and best practices.
  • Ensure all payroll information and records are maintained in accordance with statutory requirements and support internal and external audits related as such.
  • Identifies and recommends updates to payroll processing software, systems, and procedures.
  • Prepare the various pre-authorization documents for review to the Senior Specialist and submission to Payroll Head.
  • Year-end audit, reconciliations, tax preparation, generation/revision of Form 16 and returns/reporting
  • Work closely with the accounting team to assist with variance queries, balance sheet reconciliation and other queries where necessary
  • Identify and resolve payroll inquiries from internal and external customers, escalating to the Tower Head and Payroll Head where necessary
  • Track and review absence records such as sickness, holidays; calculate overtime, sickness, holidays payments; preparing and reviewing the accruals
  • Assist with various ad-hoc projects as directed by the Tower Head and Payroll Head (e.g., setting up a new location/business unit, procedural changes, and documentation)
  • Assist in special projects requiring full evaluation and research of historical data. Backup for other payroll team members as and when required
  • Review payroll policies and amend procedures when required.
  • Oversee the preparation of payroll related documents. (SOPs, Check sheets)

Qualifications:

  • Diploma or bachelors degree (preferably in accounting or equivalent)
  • Minimum 4-5 years of payroll experience in complex organizations
  • Certificate/Diploma in Payroll Services, Compliance/Labour Laws, and income Tax preferred

Required Skills/Abilities:

  • Extensive knowledge of the payroll function including preparation, balancing, internal control, and payroll taxes which include Statutory Deductions like PF, ESIC, PT & LWF
  • Extensive knowledge of the 24q (Income tax returns filling) & revision, Quarterly and yearly for Form 16 issuance. Income tax calculations etc.
  • Excellent organizational skills and attention to detail.
  • Strong analytical and problem-solving skills. Ability to carry out day-to-day responsibilities with minimal supervision.
  • Strong supervisory and leadership skills.
  • Proficient with Microsoft Office Suite or related software. Specifically, Microsoft Word, PowerPoint, Outlook, and upright Excel skills
  • Proficient with payroll software. (Associated software awareness such as Accounting and HR would be advantageous)
  • Experience in a broad range of payroll matters with experience of controlling or assisting to control payrolls and working with external payroll providers
  • Experience in journal creation, analysis, and reconciliation of payroll accounts. (Accounting and finance skills.)
  • Ability to solve problems of moderate scope and complexity by following established policies and procedures and to contribute suggestions and solutions to complex issues
  • Ability to maintain confidentiality and ensure solutions are consistent with department and organization objectives
  • Excellent customer service and interpersonal skills with the ability to build rapport
  • Experience handling payroll for multiple countries would be preferred
  • Excellent communication skills, both verbal and written.
  • Strong math and analytical skills.
