We are seeking a detail-oriented and proactive Office Coordinator to support the daily operations of our interior design company. The role requires strong organizational, communication, and multitasking skills to ensure smooth coordination between clients, designers, vendors, and management. The Office Coordinator will act as the central point of contact for administrative tasks, scheduling, and documentation.
Key Responsibilities:
Manage day-to-day office operations, ensuring a well-organized and efficient work environment.
Handle phone calls, emails, and client inquiries professionally and promptly.
Coordinate schedules, meetings, and appointments for the design team and management.
Maintain project documentation, contracts, invoices, and vendor records.
Assist with procurement by communicating with vendors, suppliers, and contractors.
Support the design team with administrative tasks such as preparing quotations, presentations, and proposals.
Monitor office supplies, purchase orders, and ensure timely replenishment.
Maintain client databases and project trackers for smooth workflow.
Ensure compliance with company policies and maintain confidentiality of sensitive information.
Provide general administrative and operational support to the management team.
2–4 years of experience in office coordination, administration, or similar roles.
Prior experience in an interior design, architecture, or construction company will be an advantage.
Strong organizational and multitasking abilities.
Excellent verbal and written communication skills.
Proficiency in MS Office (Word, Excel, PowerPoint) and Google Workspace.
