Job DescriptionWe are looking for a proactive and detail-oriented Executive Assistant to support senior leadership in managing daily operations, scheduling, communication, and documentation. The role requires excellent organizational skills, proficiency in Microsoft Office 365, and strong task management abilities to ensure smooth coordination across departments.
Key Responsibilities
1. Executive & Administrative Support
- Manage calendars, appointments, meetings, and travel schedules for leadership.
- Handle emails, correspondence, and communication with internal and external stakeholders.
- Prepare and format presentations, reports, and documents using Office 365 (Word, Excel, PowerPoint).
- Maintain confidentiality and handle sensitive information with discretion.
2. Task & Project Management
- Track ongoing tasks, deliverables, and deadlines for leadership teams.
- Maintain a task tracker and follow up with team members to ensure timely completion.
- Support small project coordination, status updates, and documentation.
- Use tools like Microsoft Planner, To-Do, or Teams for task collaboration and tracking.
3. Office Coordination
- Coordinate with HR, Admin, and Finance teams for travel, logistics, and reimbursements.
- Organize meetings, workshops, and review sessions (both in-person and virtual).
- Maintain digital records and ensure proper file management and accessibility.
4. Reporting & Communication
- Assist in preparing weekly or monthly status reports, dashboards, and summaries.
- Draft communication notes, meeting minutes, and action item follow-ups.
- Liaise between executives and cross-functional teams to ensure clarity and alignment.
Required Skills & Experience
- 2–3 years of experience as an Executive Assistant, Coordinator, or Office Administrator.
- Strong proficiency in Microsoft Office 365 (Excel, Word, PowerPoint, Outlook, Teams).
- Excellent task management, prioritization, and follow-up skills.
- Strong written and verbal communication in English, Hindi, and Gujarati.
- Ability to manage multiple priorities with high attention to detail.
- Discretion and professionalism in handling confidential information.
Preferred Qualifications
- Bachelor's degree in Business Administration, Commerce, or related field.
- Exposure to corporate or technology-driven environments preferred.
- Familiarity with digital collaboration tools like OneDrive, SharePoint, and Teams Planner.
