Role Description

This is a full-time on-site role for a Medical Receptionist located in Chennai. The Medical Receptionist will be responsible for scheduling appointments, managing phone calls, performing receptionist duties, and handling patient inquiries. The Medical Receptionist will also need to use medical terminology and manage the medical office daily, ensuring smooth operations and excellent patient care.

About Us:
 We are a dynamic family practice medical clinic in Dallas, Texas, dedicated to providing compassionate care to our patients. We utilize e-Clinical Works (eCW) as our medical software and RingCentral as our phone system for seamless communication. We are seeking a reliable, India-based receptionist to handle incoming calls during clinic hours via RingCentral and support administrative eCW tasks remotely. This role is ideal for someone with strong communication skills and a passion for healthcare, working alongside our RingCentral AI tools for enhanced efficiency.

Key Responsibilities:

As our primary point of contact for patients, you will handle all incoming calls routed through

RingCentral and perform standard medical receptionist duties, including:

  • Answering and screening phone calls promptly and professionally via RingCentral, routing them to the appropriate staff (e.g., doctors, nurses, or billing team).
  • Scheduling, rescheduling, and confirming patient appointments using clinic software integrated with RingCentral and eCW
  • Verifying patient insurance information and eligibility.
  • Collecting and updating patient demographics, medical history, and contact details.
  • Collecting payments.
  • Handling patient inquiries about services, directions, office hours, and general information.
  • Managing no-show/cancellation policies, including fee assessments and follow-ups.
  • Processing prescription refill requests and relaying them to providers.
  • Coordinating referrals to specialists and obtaining necessary authorizations.
  • Assisting with check-in/check-out processes remotely (e.g., via virtual tools in RingCentral).
  • During downtime (low call volume), performing administrative tasks such as data entry, filing electronic records, preparing patient charts, and supporting billing by reviewing claims for accuracy.
  • Maintaining confidentiality in compliance with HIPAA (training provided).
  • Providing excellent customer service to ensure a positive patient experience, collaborating with RingCentral's AI Receptionist for overflow or automated routing.

Requirements:

  • High school diploma or equivalent; medical office certification or relevant experience preferred.
  • Fluent in English (excellent verbal and written communication skills); additional languages a plus.
  • 1+ years of experience as a receptionist or in a customer service role in healthcare.
  • Proficient in Microsoft Office, Google Workspace, and familiarity with RingCentral or similar VoIP systems (training available).
  • Reliable high-speed internet, quiet workspace, and computer/headset for remote work via RingCentral.
  • Ability to work night shifts (IST equivalent of clinic hours) with flexibility for occasional overtime.
  • Strong organizational skills, attention to detail, and ability to multitask in a fast-paced environment.
  • Cultural sensitivity and empathy when dealing with diverse patients.
