Role & responsibilities
A. For Establishment and Human Assets
- Ensuring meticulous compliance with the applicable regulatory framework while performing the works related to the Establishment Division of the Institute.
- Service matters such as recruitments, appointments, promotions, retirement, disciplinary action, sanction of leave, awarding incentives, etc., pertaining to both teaching and non-teaching employees
- Maintenance of sanctioned scale register, roster, seniority list, and gradation list of both teaching and non-teaching employees.
- Maintaining personal files, service details, leave records, LTC, etc. of teaching and non-teaching staff.
- Making decisions as per the delegated financial powers wherever required.
- General supervision of the Division and adherence to Office Procedures.
- To ensure the compliance of all national and state standards and implementation of policies pertaining to both teaching and non-teaching employees with the approval of the Competent Authority.
- Revision of Recruitment Rules as per the rules and regulations in vogue wherever required.
- To develop and implement effective strategies for the betterment of the Institute.
- Organize appropriate training programs regularly for the employees of the Institute in order to ensure upgradation and enhancement of their skills and knowledge.
- Supervise efficient working of assigned staff and maintain ideal working conditions according to institute policies.
- Preparation of the budget of the Division and ensuring its timely submission.
- Handling court cases related to service matters. You must keep the registrar regularly informed about the cases and obtain requisite orders wherever required.
- Shall be responsible for planning and scheduling the entire work of the Division well in advance and shall take the periodical reviews of its execution.
- Shall be personally responsible for the smooth conduct and working of the Division.
- Shall convene regular meetings of the officers and/or of the staff working under him and shall determine the time dimensions of each of the tasks assigned and supervise the overall working as per the prescribed norms and timelines, if any. Shall also get the regular updates from the officers and guide the officers and/or staff to ensure that the job assigned to each of them is completed in time.
- Shall be responsible for preserving the documents/files/records concerning the Division as per policy in vogue.
B. For Stores and Inventory Section
- Exercise supervision and control of all stores and staff
- Carry out regular inspection of all stores and as the occasion arises.
- Ensure that accommodation is adequate and suitable for the proper storage of all stores
- Compare from time to time physical stock and ledger balances, particularly of articles of a perishable nature
- Ensure that adequate firefighting appliances are installed at strategic points on the store's premises and maintained in good order.
- Arrange for the boarding of all unserviceable store items and ensure that disposal instructions are obtained from the proper authority and carried out accordingly
- Generate and analyze inventory reports to identify trends and areas for improvement
- Arrange for the periodic examination of scales and weights and measures to ensure that they are in good condition
- Stock items in bulk which are supplied on request
- On receipt of relevant shipping documents for overseas orders, the invoices shall be sorted out, and copies given to Heads of Department/Section/Unit/Center who ordered the goods to enable them to check the goods on arrival.
- Implement inventory control procedures to minimize discrepancies and losses
- Performs miscellaneous job-related duties as assigned.
C. Any Other Responsibility Given by the Honorable Vice Chancellor from Time to Time.
