Purchasing Assistant

Job Summary:

The Purchasing Assistant supports the purchasing team by preparing and processing purchase orders, handling vendor communication, maintaining accurate documentation, and assisting with general office tasks related to procurement.

Responsibilities:

  • Prepare and process purchase orders, vendor forms, and purchasing documents.
  • Coordinate communication with vendors and internal teams (calls, emails, inquiries).
  • Review purchase orders for accuracy, pricing, and required attachments.
  • Maintain purchasing records, logs, and files accurately.
  • Assist with bid receipt, logging, and routing documents for approval.
  • Enter requisitions into software systems (e.g., QuickBooks) and verify coding.
  • Provide administrative support such as preparing reports, letters, and spreadsheets.
  • Assist visitors and ensure proper access procedures are followed.
  • Ensure timely follow-ups on purchasing tasks and deadlines.
  • Provide customer service and act as backup for purchasing team members when needed.

Qualifications:

  • College Graduate preferably Business Course/ Accounting Related Courses
  • Experience in purchasing, admin support, or related field preferred.
  • Strong attention to detail with excellent spelling, grammar, and documentation skills.
  • Proficient with computers and Microsoft Office applications.
  • Strong communication and customer service skills.
  • Ability to multitask, manage time well, and work in a fast-paced environment.
