Experience: 2-5 years (preferably in manufacturing, EPC, or project-based industries)

Industry: Fire Suppression Systems Manufacturing

Role Overview:

The Payment Follow-up Executive will be responsible for ensuring timely collection of payments from clients as per agreed credit terms. The role involves coordinating closely with Sales, Projects, and Accounts teams to track outstanding invoices, follow up with clients, send reminders, resolve disputes, and maintain healthy cash flow for the company.

Key Responsibilities:

1. Payment Follow-up & Collections

Systematically follow up with customers through calls, emails, and official letters for pending payments and overdue invoices.

Maintain a regular follow-up schedule to ensure timely collection as per agreed credit terms.

Share payment reminders, SOAs (Statement of Accounts) and coordinate for collection dates, TDS certificates, and UTR details.

Escalate critical overdue cases to management with proper documentation.

2. Coordination & Documentation

Work closely with Sales, Projects, and Accounts teams to align on billing status, project milestones, and collection timelines.

Track invoice-wise outstanding amounts, retention money, security deposits, and payment terms for each customer.

Maintain proper customer communication records, commitment dates, and follow-up history.

Coordinate with customers for submission of invoices, delivery challans, PBG/BG, or other commercial documents required for processing payments.

3. MIS & Reporting

Prepare and share weekly/monthly collection status reports with management.

Update ERP / Tally / Excel trackers with real-time collection data.

Highlight potential delays or collection risks proactively.

Qualifications & Skills

  1. Bachelors degree in Commerce or a related field.

  2. 2-5 years of experience in payment follow-up, collections, accounts receivable, or commercial operations.

  3. Strong communication and follow-up skills (both verbal and written).

  4. Basic understanding of invoicing, taxation (GST / TDS), and project billing terms.

  5. Proficiency in MS Excel, Tally / ERP systems, and email communication.

  6. Disciplined, persistent, and customer-focused approach.

  7. Strong negotiation and persuasion abilities

  8. Organized and detail-oriented

  9. High sense of ownership and accountability

  10. Ability to work closely with internal teams and external clients

  11. Professional, polite yet firm in follow-ups
