We are looking for a proactive and detail-oriented
Executive Assistant (EA)
to support the CXO and oversee daily operations on their behalf. This role requires strong organizational skills, excellent communication, and the ability to manage cross-functional tasks with minimal supervision. The EA will act as an extension of the CXO in operational matters, ensuring smooth execution across business, technical, and administrative functions.
Key Responsibilities1. Operational Management
- Act as the CXO's representative in day-to-day operational matters.
- Coordinate and monitor ongoing projects, ensuring deadlines and deliverables are met.
- Track red flags (delays, bottlenecks, unattended tasks) and escalate to the CXO with actionable insights.
2. Executive Support
- Manage CXO's calendar, meetings, and follow-ups with internal and external stakeholders.
- Prepare meeting briefs, minutes of meetings, and track action items until closure.
- Handle confidential information with discretion.
3. Cross-Functional Coordination
- Liaise with department heads to gather updates, consolidate reports, and align priorities.
- Facilitate smooth communication between leadership and team members.
- Ensure accountability and compliance with established SOPs and processes.
4. Process & Documentation
- Maintain and update company operations playbooks, SOPs, and checklists.
- Standardize reporting templates for different departments.
- Support in drafting proposals, client-facing documents, and internal communications.
5. Strategic Assistance
- Support the CXO in preparing for board meetings, client calls, and reviews.
- Conduct research, prepare presentations, and draft key communications.
- Provide recommendations to improve efficiency in operations and workflows.
Requirements
- Bachelor's degree in Business Administration, Management, or related field.
- 3–6 years of experience in executive assistance, operations, or project coordination.
- Strong communication skills (written and verbal).
- Excellent organizational and multitasking abilities.
- Proficiency in tools like Google Workspace, Microsoft Office, and project management tools (e.g., Notion, Trello, Asana, or Jira).
- Ability to handle sensitive information with confidentiality and professionalism.
