
Maintenance Staff Documentation

Job Summary:
We are looking for a proactive and detail-oriented Maintenance Staff member to support documentation & coordination activities related to facility & equipment maintenance of Corporate office & retail stores. This role is key in managing maintenance data, following up with vendors and internal departments & ensuring all documentation & records are up to date & compliant with internal processes. The ideal candidate should have experience in maintenance operations support, vendor coordination & working with internal portals for invoice, procurement & compliance management.
Key Responsibilities:
Documentation & Portal Updates:
- Update maintenance-related information regularly in the internal Maintenance Portal.
- Maintain records for preventive and breakdown maintenance
- Document energy and water consumption data
- Manage asset registers, equipment history & spares records.
Coordination Activities:
- Follow up on Annual Maintenance Contracts (AMCs) including renewal reminders & documentation.
- Coordinate with vendors & technicians to collect service reports and maintenance data.
- Liaise with Maintenance & store teams to gather & compile maintenance-related inputs.
Procurement & Inventory Support:
- Raise Material Procurement Requests for tools, spares, and services.
- Track Purchase Orders (POs) and follow up with the Purchase Department for updates.
- Monitor spares availability and coordinate with purchase for stock replenishment.
Invoice & Payment Processing:
- Submit approved invoice details in the designated finance portal.
- Coordinate with Finance for timely payment processing and status updates.
- Maintain a tracker of invoice submissions and pending payments.
Reporting & Compliance:
- Data collection to prepare monthly reports covering maintenance activities, energy & water consumption & equipment uptime/downtime.
- Support documentation related to compliance updates and audit readiness.
- Maintain records of safety & statutory checks for equipment and systems.
Qualifications:
- Education:Bachelor's in Electrical
- Experience: 2-4 years in maintenance administration, documentation, or facilities coordination.
Skills Required:
- Proficiency in MS Excel, Word, and maintenance portals/CMMS.
- Strong coordination and follow-up skills.
- Knowledge of maintenance processes, inventory management & invoice handling.
- Attention to detail, organized documentation habits.
- Good verbal and written communication.
- Ability to multitask and meet deadlines.
Preferred:
- Familiarity with ERP systems (SAP, Oracle, etc.) for procurement and invoice management.
- Experience in retail or multi-location maintenance coordination.
- Basic understanding of energy & utility tracking.
