About the Role

We need an Executive Operations Manager to be the operational backbone of our founders' decision-making apparatus. Reporting to the Chief of Staff, you'll ensure every founder meeting leads to action, every decision gets tracked, and nothing falls through the cracks. You're the institutional memory and execution engine for leadership initiatives.

Primary Responsibilities (100% time allocation)

  • Meeting Management & Documentation : Attend all founder meetings, create comprehensive documentation, extract actionable, and ensure follow-through
  • Strategic Research & Analysis :Conduct deep research for new initiatives, market opportunities, competitive intelligence
  • Calendar & Workflow Optimization: Manage founders' time strategically, optimize meeting cadence, protect focus time
  • Cross-team Coordination Follow up with division heads, track project status, ensure alignment on founder priorities

Success Metrics (90-day targets)

  • 100% of founder decisions documented with clear owners and timelines
  • Reduce founder follow-up burden by 90%
  • Cut meeting time by 25% through better prep and structure
  • Launch weekly founder briefing with key updates across org
  • Build searchable knowledge base of all strategic decisions

Key Deliverables

  • Shadow founders, map current meeting/decision flow
  • Implement new documentation and tracking system
  • Launch automated follow-up and reminder systems
  • Optimize calendar for strategic focus time

Required Qualifications

  • 3+ years in chief of staff/executive support/management consulting
  • Exceptional written and verbal communication skills
  • Experience managing C-suite executives in high-growth environments
  • Strong project management and organizational skills
  • Ability to context-switch rapidly while maintaining quality

Preferred Qualifications

  • Fashion/retail industry experience
  • Former consultant or investment banker
  • Experience in 1000+ person organizations
  • MBA or equivalent
  • Comfort with ambiguity and fast-paced environments

  • Daily sync with Chief of Staff
