Job Purpose:

To manage end-to-end tendering activities for healthcare and institutional clients, ensuring timely submission, compliance with requirements, coordination with internal departments, and smooth execution post-tender award.

Key Responsibilities:

  1. Tender Management:

  2. Identify, download, and review healthcare tenders from government and institutional portals (e.g., GeM, CPP, State Health Departments, Defence, Railways, etc.).

  3. Evaluate tender terms, conditions, and eligibility criteria; prepare checklists for compliance.
  4. Coordinate with sales, commercial, legal, and finance teams for required documentation and approvals.

  5. Ensure timely submission of bids (online/offline) and maintain records of all submitted tenders.

  6. Documentation & Compliance:

  7. Prepare technical and commercial bid documents, EMD/BG drafts, and supporting certificates (ISO, GST, PAN, registration documents, etc.).

  8. Maintain an updated database of tender documents, registration certificates, and client credentials.

  9. Ensure compliance with tender specifications and statutory requirements.

  10. Coordination & Follow-Up:

  11. Coordinate with production, logistics, and dispatch teams for supply planning and order fulfillment post-tender award.

  12. Liaise with clients or authorities for bid clarifications, corrigenda, and post-tender communications.

  13. Support the sales team in price finalization and negotiation during tender participation.

  14. MIS & Reporting:

  15. Maintain a tracker of all tenders—participated, won, lost—with reasons and outcomes.

  16. Prepare monthly reports on tender performance and conversion ratios.
  17. Assist in audit requirements related to tender documentation and record-keeping.

Qualifications & Experience:

  • Graduate / Postgraduate in Commerce, Business Administration, or related field.
  • 2–5 years of experience in tendering, preferably in healthcare, textiles, or institutional sales.
  • Hands-on experience with GeM, CPP, and other e-tendering portals.
  • Proficient in MS Excel, Word, and documentation management.

Key Skills:

  • Strong coordination and communication skills.
  • Detail-oriented with accuracy in documentation.
  • Ability to work under deadlines and multitask.
  • Understanding of government tender processes and compliance norms.
