Role & responsibilities

  1. Office & Facility Management

  2. Oversee day-to-day administration, housekeeping, security, and maintenance operations.

  3. Ensure smooth functioning of infrastructure, utilities, and overall workplace hygiene and safety.
  4. Plan and manage space utilization, seating arrangements, and office expansions or relocations.
  5. Implement best practices for energy efficiency and facility upkeep.

  6. Vendor & Contract Management

  7. Identify, evaluate, and negotiate with vendors for facility, maintenance, and service contracts.

  8. Review and approve vendor agreements, AMCs, and ensure timely renewals.
  9. Maintain strong vendor relationships while ensuring cost-effectiveness and service quality.
  10. Track procurement budgets and approve purchase requests related to admin functions.

  11. Asset & Inventory Management

  12. Maintain up-to-date records of company assets (IT equipment, furniture, machinery, etc.).

  13. Ensure timely maintenance, repairs, and insurance renewals.
  14. Supervise inventory control for office supplies, stationery, and pantry materials.

  15. Employee & Office Support

  16. Oversee travel, transport, and accommodation arrangements for employees and guests.

  17. Coordinate corporate events, training programs, and staff engagement activities.
  18. Ensure new joiners receive the required workspace, access cards, and administrative onboarding support.

  19. Compliance, Safety & Documentation

  20. Ensure adherence to statutory and company policies related to administration and facilities.

  21. Manage licenses, permits, lease agreements, and vendor documentation.
  22. Oversee security protocols, fire safety measures, and emergency preparedness plans.
  23. Support internal and external audits related to admin operations.

  24. Budgeting & Reporting

  25. Prepare and manage the annual administrative budget.

  26. Track and control operating expenses to ensure cost optimization.
  27. Generate periodic MIS reports and present updates to management.
