Location: Khasra No. 340, Barola, Sector 49, Noida
Job Timings: Full time job – 9:30 AM to 6.30 PM (Monday to Saturday)
Job Summary:
Vidya & Child works towards providing opportunities for long term growth and development for each Child through its programmes based in low-income communities in Noida. A strong and deeply connected Employee base is KEY for the organisation and the responsibility rests on the efforts of the Human Resource Team at Vidya & Child.
The HR Mitr supports the HR Saathi ensuring timely recruitment and providing support in all HR related administrative processes. Recruitment a KEY role of the HR Mitr, must be initiated and tracked as per the defined processes so that each employee recruited grows to be a connected, long-term employee of the organisation aligned with the culture and role recruited defined at the time of recruitment.
The HR Mitra will be a vital member of the Human Resources team, providing essential administrative and operational assistance. In addition to the role focusing on teacher recruitment, other key areas would include delivering efficient communication, maintaining accurate employee data, and efficiently managing the creation and distribution of all HR documents – letters to employees, tracking all pending communications, acting in support to HR Saathi to enable the HR team to support all employees of the organisation proactively.
Roles and Responsibilities:
- Sourcing:
o Understanding requirement of all centres and programmes, coordinating to put together open positions and relevant details required for recruitment.
o Determine through research the most effective platforms/ source and methods to reach the target candidate pool. Finding out new sources for hiring needs.
o Track CVs received against each source, analyse which is the most effective source for which position.
o Placing advertisement on various job platforms based on discussions and decisions taken by the HR team.
- Data Entry and Record Keeping:
o Checking all the platforms where applications are received and downloading them in relevant folders
o Understanding the recruitment process specifically related to screening of CVs and priority assigned for various open positions.
o Screening and updating the candidate information in relevant Trackers
o Prioritizing the CV based on their qualification and experience in the Tracker
o Allocating and prioritizing CVs for Calling.

- Calling Work:
o Making telephonic calls to candidates as per requirement and gather relevant information and document each call in detail.
o Calling to be done as per the recruitment process, specifically understanding the details which must be understood about the candidate and accordingly filtering candidates to be called for 1st level interviews based on suitability of candidature.
o Alongwith HR Saathi finalising list of candidates to be called for 1st Level interviews.
o Coordinating with candidates on the day of interview for follow up.
- Being part of the interview process
o Sit in interviews, with the objective to understand Vidya & Child processes, what is key in a candidate which will benefit the organisation and matches the suitability of the role.
o Develop understanding to use in the screening and calling process.
o Record and update details of the candidates as required.
o Coordinate with centres and for further rounds of interviews.
- Employee Joining Process
o Understand the employee joining process and accordingly implement the same for all new employees.
o Record, Organise and file all relevant documents of the employee.
o Track all actions as per employee joining process with the Employee, and internally with Accounts, IT, Admin and Centre teams to ensure that all actions for the employee have been completed. This is important so that all standard actions important for the initial settlement of the employee are taken timely for the benefit of the employee.
- Employee Master sheet Updation and Record Keeping:
o Enter employee data into our Employee Master sheet on regular basis
o Maintain and update employee records, ensuring all information like personal details and professional detail is current and accurate.
- Support to HR team, Centres for tracking of all Actions
o Involvement in all HR coordination meetings
o Minuting of all discussions
o Consolidating of all actions to be taken by Centres, HR team, Admin team and Acccounts team.
o Communication of all actions after the meeting and tracking of all actions till the next meeting.
o Pending actions to be highlighted before the next meeting.
- HR related Communication, Drafting Letters:
o Prepare accurate and timely appointment letters for new joinees, other letters for existing employees, using established templates and adhering to organisation guidelines.
o Ensure all necessary information, including job details, compensation, and terms of employment, is correctly included in appointment letters.
o Maintaining records for the Soft Copy and Hard copy of Employees.
R&R HR Mitr Vidya & Child 3
o Coordinate the distribution of signed letters - Appointment letters, Change in terms letter, etc to Employees and tracking receipt and ensuring proper organisation and filing.
o Maintenance of all templates and revisions on a yearly basis to ensure proper communication is always maintained with all employees.
- General HR Support:
o Provide broad administrative support to the HR and Accounts department, including photocopying, scanning, and filing of documents.
o Assist in scheduling and coordinating HR-related meetings, interviews, and appointments.
o Support the employee on boarding and exit processes by preparing relevant documentation and assisting with related tasks.
Job Type: Full-time
Pay: ₹20, ₹25,000.00 per month
