Job Summary:

The candidate will serve as the first point of contact for visitors, parents, and callers, ensuring a professional and welcoming environment. This role involves greeting guests, managing inquiries via phone and email, handling mail and correspondence, maintaining the reception area, and supporting day-to-day administrative tasks.

Key Responsibilities

  • Visitor Management:
     Greet, welcome, and assist visitors, students, parents, and staff in a friendly and professional manner.
  • Communication:
     Answer, screen, and direct incoming calls and emails to the appropriate personnel or department.
  • Reception Area:
     Maintain a clean, tidy, and presentable reception area, ensuring all necessary supplies and stationery are in stock.
  • Administrative Support:
     Perform tasks such as data entry, filing, document preparation, and photocopying.
  • Mail & Deliveries:
     Receive, sort, and distribute daily mail, packages, and deliveries.
  • Scheduling:
     Assist with scheduling meetings, appointments, and managing calendars.
  • Supplies & Inventory:
     Monitor and manage front office supplies, maintaining an accurate inventory.
  • Record Keeping:
     Maintain visitor logs, records, and other documentation accurately.
  • Security:
     Ensure office security by controlling access through the reception desk.

Requirements:

  • Bachelor's degree or equivalent qualification.
  • Proven experience as a Front Office Executive, or in a similar role.
  • Strong communication and interpersonal skills.
  • Proficiency in MS Office (Word, Excel, Outlook).
  • Excellent organizational and multitasking abilities.
