Role & responsibilities
Role Overview
The Executive Assistant will work closely with the Managing Director to provide analytical support, day-to-day coordination, and high-quality reporting. The role requires someone who is smart, adaptable, data-driven, excellent with Excel, and capable of managing the MDs schedule, follow-ups, and cross-department communication.
Key Responsibilities
1. Executive Support & Calendar Management
- Plan and manage MDs schedule, priorities, and meetings.
- Prepare agendas, minutes, and follow-up trackers.
- Coordinate with branch heads, HODs, and teams for timely updates.
2. Reporting & Analysis
- Create daily/weekly/monthly MIS reports for Sales, Operations, Training & CR.
- Use Excel formulas (SUMIF, IFERROR, VLOOKUP/XLOOKUP, Pivot Tables) to run analysis.
- Identify performance drops, highlight risk areas, and generate actionable insights.
- Prepare dashboards and summary reports for MD review.
- Track branch performance and highlight departments needing intervention.
3. Coordination & Follow-ups
- Ensure all departments submit data/reports on time.
- Manage communication on behalf of MD in a professional, concise manner.
- Track key actionables for Departments.
4. Process & Productivity Support
- Identify gaps in workflow and suggest improvements.
- Support MD in strategic planning, reviews.
5. Confidentiality & Professionalism
- Handle sensitive information with complete integrity.
Maintain a strong standard of communication and reporting.
