Job Summary:

We are seeking a motivated and detail-oriented 
Documentation Executive for Tender & IERPS
 who will be responsible for preparing, maintaining, and updating all documents related to government/railway tenders. The candidate should have hands-on experience in tender documentation, online portal submissions, and end-to-end documentation from bid preparation to dispatch.

Key Responsibilities:

  • Search, download, and review tenders from IREPS, GeM, e-Procurement and other tender portals.
  • Collect eligibility criteria and technical requirements and prepare tender checklists.
  • Coordinate with relevant departments to gather certificates, pricing, compliance documents and annexures.
  • Prepare complete tender documentation including declarations, forms, affidavits, technical bids, commercial bids and supporting papers.
  • Ensure accuracy of documents as per tender specifications and government/railway rules.
  • Create and upload tender documents on portals within timelines.
  • Maintain updated records of tender submissions, corrigenda, opening status and follow-ups.
  • Communicate with tender authorities regarding clarifications, amendments, and bid submissions.
  • Ensure validity and renewal of all statutory documents (MSME, GST, PAN, ISO, etc.).
  • Prepare post-tender dispatch documentation including challan, invoice, packing list, inspection certificate, warranty certificate, guarantee formats, test reports, etc.
  • Manage documentation from tender submission stage to final dispatch of materials in railway tenders.
  • Track and update data on IREPS/IERPS for order status, LOA, purchase orders and contract documents.

Required Skills & Qualifications:

  • Graduate
  • Minimum 
    1–3 years of experience
     in tender documentation.
  • Good knowledge of 
    IREPS/IERPS, GeM & e-Procurement portals
    .
  • Strong documentation and data management skills.
  • Proficiency in 
    MS Office (Excel, Word, PDF)
    .
  • Good typing speed and attention to detail.
  • Ability to work under deadlines and multitask efficiently.
  • Good written and verbal communication skills.

  • Experience in tendering for 
    railway departments
    .
  • Knowledge of 
    technical/commercial bid preparation
    .
  • Understanding of 
    government procurement procedures
    .
  • Experience in coordinating with inspection agencies, dispatch teams and logistics vendors.
