Job Summary:
We are seeking a detail-oriented and mathematically skilled Office Staff member to manage and oversee billing operations in our HVAC company. The ideal candidate will have a Bachelor's degree in Mathematics (B.Sc.) and will be responsible for preparing, verifying, and closing all client billing and invoicing activities. This role requires accuracy, analytical thinking, and the ability to coordinate with various departments to ensure timely and error-free billing.
Key Responsibilities:
- Prepare and issue client invoices based on work completion reports, job cards, and service agreements.
- Review and verify job completion data, pricing, and material usage from technicians and project managers.
- Coordinate with the sales and operations teams for accurate billing inputs.
- Maintain billing records, client databases, and payment follow-up logs.
- Track accounts receivable and report overdue invoices to the finance department.
- Reconcile discrepancies in billing and resolve any client disputes or internal inconsistencies.
- Prepare regular billing reports and summaries for management.
- Support the accounts and admin teams in related office tasks.
Required Qualifications & Skills:
- Bachelor's Degree in Mathematics (B.Sc. Mathematics) or equivalent.
- Proficiency in MS Office (especially Excel) and accounting/billing software (e.g., Tally, Zoho Books, QuickBooks – if applicable).
- Strong analytical and numerical skills.
- Good communication and coordination abilities.
- Prior experience in billing or office administration (preferably in an HVAC or service industry) is an advantage.
- Ability to manage multiple billing tasks and meet deadlines.
