KEY RESPONSIBILITIES

1. Order Execution & Coordination

- Review orders received through CRM/SAP.

  • Coordinate with Sales for priorities and special instructions.

  • Maintain and track all open orders with planned vs actual readiness.

  • Escalate delays across teams proactively.

2. Stock Availability & Material Readiness

- Check availability of finished goods and trading items.

  • Coordinate with Purchase for local, factory-related, and international ETAs.

  • Align stock readiness with committed customer delivery dates.

  • Ensure materials required are available before dispatch.

3. Dispatch Planning & Handover

- Prepare daily dispatch readiness and handover plan for the dispatch/logistics team.

  • Ensure documentation (invoice, COA, MSDS, packing list) is complete before handover.

  • Confirm that orders reach last mile execution on time.

  • Track dispatch movement with the logistics team without managing last mile operations.

4. Coordination With Warehouse & Factory

- Sync with warehouse for picking, packing, and dispatch readiness.

  • Resolve stock shortages and variance issues quickly.

  • Coordinate with Factory for production schedules, QC release, and planned dispatch dates.

5. S&OP (Sales & Operations Planning)

- Lead weekly S&OP to align Sales, Purchase, Warehouse, and Logistics.

  • Highlight bottlenecks, material shortages, and high risk orders.

  • Present weekly dashboards and ensure cross team accountability.

6. Reporting & Documentation

- Publish daily MIS: orders received, orders ready, orders dispatched, pending orders.

  • Maintain import/dispatch trackers and audit documentation.

  • Provide weekly and monthly fulfilment reports for management review.

TEAM MANAGEMENT

- Coordinate with warehouse staff, logistics team, and purchase executives.

  • Enforce SOPs and accurate CRM/SAP data entry.

  • Train junior staff on fulfilment processes.

KPIs

- Order cycle time (order to handover for dispatch)

  • Stock out incidents

  • Delay reasons by department

  • Accuracy of documentation

QUALIFICATIONS

  • Graduate in Supply Chain, Operations, Commerce, or similar.

  • 3 to 7 years in fulfilment, operations, warehouse, logistics, or supply chain.

  • ERP/CRM experience (SAP) preferred.

  • Strong Excel and coordination skills.

  • Good spoken and written English
