Executive Assistant

Role Overview:
This is a unique and high-impact role designed to directly amplify the Director's effectiveness. The ideal candidate is a strategic partner who seamlessly blends the responsibilities of an Executive Assistant with the foundational aspects of HR recruitment.
You will be the right hand to the Director, ensuring their AI consultation workflows are executed flawlessly while also managing the company's talent acquisition needs on a project basis. This role is perfect for someone who is exceptionally organized, a clear communicator, and thrives in a fast-paced, technology-driven environment.
Key Responsibilities:
A. Executive & Strategic Support (Primary Focus - ~70%)
AI Consultation Workflow Management:
Act as the bridge between the Director and the AI journalism/execution team.
- Sit in on client consultation calls, take detailed notes, and distill complex discussions into clear, actionable summaries.
- Translate the Director's strategic solutions and workflows into precise briefs for the internal AI journalism team.
- Track the progress of these projects, ensuring timely execution and delivery.
Conduct preliminary quality checks on deliverables before they reach the Director.
Executive Assistance:
Manage the Director's calendar, schedule appointments, and coordinate meetings for AI consultations.
- Prepare agendas, presentations, and reports for client meetings and internal reviews.
- Handle confidential information with the utmost discretion.
B. Talent Acquisition & Coordination (As Required - ~30%)
End-to-End Recruitment:
Work with the Director to understand hiring needs for various roles (e.g., developers, marketers, AI journalists).
- Manage the full recruitment lifecycle: posting jobs on portals, sourcing candidates, screening resumes, and coordinating interview schedules.
- Conduct initial phone screens to assess candidate fit and communication skills.
Facilitate the offer process and ensure a smooth onboarding experience for new hires.
HR Coordination:
Maintain employee records and assist with basic HR operations as needed.
Required Skills & Qualifications:
- Experience: 2-4 years of experience as an Executive Assistant, Personal Assistant, or in a similar role, preferably in a tech, marketing, or consulting environment. Previous exposure to recruitment is a significant plus.
- Exceptional Communication: Impeccable English verbal and written communication skills. Must be able to articulate complex ideas clearly and professionally to both internal teams and external clients.
- Tech-Savviness: Quick to adapt to new software and tools. Familiarity with project management tools (e.g., Asana, Trello, Jira), Google Workspace/MS Office, and communication platforms (Slack, Teams) is essential.
- Analytical Aptitude: Ability to understand and process high-level business and AI/automation concepts. You don't need to be an expert, but you must have a keen interest and learning agility.
- Proactive & Discreet: A self-starter who can anticipate needs, work independently, and handle sensitive information with complete confidentiality.
