So, what are we looking for?

We are seeking a proactive and detail-oriented Facilities Coordinator to support our Facilities Specialist in daily operations, with a strong emphasis on policy, procedure, and compliance. This role is essential to streamlining facility requests, vendor coordination, and documentation management across multiple locations.

What are your responsibilities?

  • Facility Help Desk Coordination: Promote and manage use of the Facility Help Desk for all facility-related requests.
  • Maintenance & Utilities: Coordinate repairs, manage utility connections/disconnections, and maintain online access.
  • Vendor & Contract Management: Assist with vendor setup (W-9, COI, contact info), track Certificates of Insurance, and create service contracts using standard CTI templates.
  • Procurement & Invoicing: Generate and file purchase orders, monitor invoice payment status.
  • Compliance Tracking: Maintain schedules for annual inspections (fire extinguishers, alarms, elevators, backflow), and update insurance and location lists.
  • Documentation & Reporting: Maintain lease abstracts, facility info sheets, and location data for internal reporting and audits.
  • Support Services: Oversee water/beverage service and other location-specific needs.

Does experience count?

  • Experience in administrative support, facilities, or operations.
  • Strong organizational and communication skills.
  • Familiarity with policy documentation and vendor management.
  • Proficiency in Microsoft Office and document tracking systems.
  • Ability to manage multiple priorities and maintain confidentiality.
