Job Summary:
We are looking for a proactive and well-organized HR & Admin Executive to handle human resource operations and administrative functions in an HVAC contracting environment. The role requires managing employee relations, recruitment, compliance, and general administration to support both office and site-based teams efficiently.
Key Responsibilities & Descriptions:
Human Resources:
- Recruitment & Onboarding
Manage hiring of site engineers, technicians, and office staff by posting jobs, screening candidates, arranging interviews, and handling documentation for new joiners.
- Employee Records & Documentation
Maintain updated records of employees including ID proofs, offer letters, attendance, leaves, and performance data.
- Payroll Coordination
Support the accounts team in preparing monthly payroll data including attendance, overtime, and deductions.
- Statutory Compliance
Ensure compliance with PF, ESIC, labor laws, and other government regulations applicable to contractual and permanent employees.
- Employee Grievance Handling
Act as a point of contact for employees' issues, ensuring timely resolution and a professional working environment.
- HR Letters & Policies
Draft and issue offer letters, appointment letters, confirmation letters, and maintain HR policy documents.
- Training & Development
Coordinate skill training, safety workshops, and other employee development initiatives for both technical and non-technical staff.
Administration:
- Office Operations
Manage day-to-day office activities such as stationery procurement, housekeeping coordination, office asset management, and vendor follow-ups.
- Site Support & Coordination
Assist project sites with manpower deployment, ID card issuance, accommodation arrangements, and travel bookings.
- Documentation & Filing
Maintain soft and hard copy filing systems for contracts, licenses, insurance documents, and correspondence.
- Logistics & Travel
Organize travel plans for employees and project teams, including tickets, vehicles, and accommodations.
- Vendor & Facility Management
Coordinate with service providers and suppliers for office maintenance, AMC contracts, and other admin needs.
- Compliance & Renewals
Track renewal of company certifications, ISO documents, and licenses such as labor registration or shop act.
Requirements:
- Bachelor's degree in HR, Business Administration, or equivalent.
- 2–4 years of experience in HR/Admin roles (construction/HVAC/MEP industry preferred).
- Knowledge of HR practices, payroll processing, and labor compliance.
- Strong skills in MS Office, HR software, and documentation handling.
- Excellent verbal and written communication skills.
- Ability to manage multiple responsibilities across office and project teams.
Preferred Skills:
- Working knowledge of Tally, HRMS, or ERP systems.
Familiarity with contractor site operations, manpower dispatching, and safety norms.
Job Types: Full-time, Permanent
Pay: ₹15, ₹30,000.00 per month
