B. About Your Role
We are looking for a Head of Operations to join our Operations Department. In this role, you will partner with the Chief Operating Officer to build and run the operating backbone of the company. You will combine strategic planning with hands-on ownership of processes, tools, systems, and data—ensuring work flows smoothly across teams and that execution is consistent, efficient, and well-documented. Your contribution will directly support organizational scalability, operational excellence, and long-term business success.

C. Key Responsibilities
- Design and run a structured weekly and monthly operating cadence with clear agendas, KPIs, action items and owners.
- Translate strategic priorities into execution roadmaps with timelines, milestones and measurable outcomes.
- Map and improve end to end processes across client and internal journeys, including intake, documentation, fulfilment, billing, collections and reporting.
- Build and maintain a central library of SOPs, checklists and workflow diagrams with ownership and version control.
- Support implementation of OKRs or similar frameworks, ensuring clear responsibilities and non-overlapping ownership.
- Take ownership of the productivity and collaboration stack, including advanced use of Microsoft 365, admin centers, Teams, SharePoint and OneDrive, along with access and permission structures.
- Oversee day to day operational tools such as Calendly, Zoom and similar platforms, ensuring they are configured correctly and used consistently.
- Lead setup, reconfiguration and migration of CRMs or similar core systems, covering requirements gathering, configuration, data mapping, cut over and post go live stabilization.
- Use large language model tools in daily work for documentation, analysis, drafting and internal knowledge management.
- Design and deploy no code automations using platforms such as Zapier, Make or similar tools to connect systems and reduce manual work.
- Lead or supervise the build of internal tools and workflows on no code or low code platforms such as Bubble, GoHighLevel or comparable solutions.
- Build simple, reliable dashboards and recurring reports that give leadership visibility into volume, performance, risks and trends.
- Own SaaS and tool governance for operations, including selection, onboarding, renewals, decommissioning, access control and cost optimization.
- Lead vendor relationships where operations is the primary owner, including contracts, service levels and performance reviews.
- Build and manage a small operations team over time, including hiring, onboarding, coaching and performance management.
D. Required Qualifications & Experience
Education
- Master's/Bachelor's degree in Business Administration, Operations Management, Engineering, Finance, Information Systems, or a related field.
- Professional certifications such as PMP, Lean Six Sigma, Scrum Master, or Process Improvement are an added advantage.
- Additional training or certifications in Microsoft 365 administration, CRM systems, no-code/low-code tools, or automation platforms is highly desirable.
Experience
- 8 to 12 years of experience in operations, program management or a related field.
- At least 4 years in a senior operation, head of operations or equivalent leadership role.
- Experience working in multi team environments such as financial services, consulting, technology or similar sectors.
Essential technical skills
- Proven track record of implementing or migrating at least one CRM or core business system end to end.
- Strong hands-on experience with Microsoft 365, including use of admin centers and management of users, groups and access policies.
- Practical exposure to no code tools and automation platforms such as Zapier, Make, Bubble, GoHighLevel or similar.
- Regular use of AI and large language model-based tools in a professional context.
- Strong command of Excel and comfort with data, reporting and business metrics. Knowledge of SQL or Python is an advantage.
- Excellent written and verbal communication skills, including clear updates, documentation and SOPs.
- Self-motivated, structured and comfortable working directly with senior leadership and managing multiple parallel workstreams.
