HR Coordinator

We are looking for a highly organized and proactive HR Coordinator to support our HR leadership team and ensure smooth execution of HR operations. This role acts as the central point of contact between the HR team and stakeholders, handling scheduling, stakeholder management, travel, events, and overall coordination for the function.

Experience: 5-6 Years

Key Responsibilities

1. Schedule & Calendar Management

  • Manage the daily agenda of Senior HR members, supporting them as a business planning partner.
  • Arrange and coordinate meetings, appointments, and conference room bookings.
  • Prepare meeting agendas, document minutes, and track follow-up actions.
  • Oversee logistics to ensure seamless execution of meetings and events.
  • Manage travel-related activities for senior HR members.

2. Stakeholder Management

  • Act as the liaison between HR leadership, teams across locations, and external stakeholders.
  • Organize and drive recurring meetings (weekly, fortnightly, monthly).
  • Coordinate and support global visitors, managing their schedules during visits.

3. Coordination & Operations

  • Assist in planning and executing internal and external HR/business leadership events.
  • Prepare reports, presentations, and briefing materials.
  • Manage expense reports, vendor invoices, and coordinate with Finance for timely processing.
  • Track compliance and L&D-related trainings, sending timely reminders.
  • Coordinate with cross-functional teams (Admin, IT, REFOG, etc.).
  • Maintain efficient documentation and filing systems.
  • Handle requests and queries with professionalism and discretion.

Qualifications & Skills

  • Bachelor's degree in HR, Business Administration, or related field (preferred).
  • Proven experience in HR coordination, executive assistance, or office management.
  • Excellent organizational and multitasking skills.
  • Strong communication and stakeholder management abilities.
  • Proficiency in MS Office (Excel, PowerPoint, Word) and scheduling tools.
  • Ability to work independently and manage sensitive information with confidentiality.
