Overview

To proactively manage the Account Setup & Maintenance teams and support the team leads as well as to ensure the daily workflow of all requests received are properly assigned and maintained by monitoring workloads, turn-around-time, quality, and developmental needs—leading to improved employee retention and internal/external customer satisfaction while ensuring all compliance guidelines are met.

This role also includes identifying opportunities to streamline and improve processes through automation, including the use of bots and other digital tools, to reduce manual efforts, enhance scalability, and improve quality. The ideal candidate will have experience or aptitude in leveraging automation technologies to drive operational efficiency and support digital transformation initiatives.

Responsibilities

Account Setup & Maintenance Process Improvements

  • Monitor and review the effectiveness of current processes
  • Analyze changes in volume levels to coordinate work assignments
  • Ensure turn-around-times are met for account setup and maintenance
  • Proactively address concerns of the department
  • Act as a senior escalation point as needed to remove obstacles for proper processing
  • Communicate and disseminate information, including but not limited to, emails, conducting department meetings, monthly metrics, etc.
  • Make recommendations to management concerning staff and improvement of procedures to contribute to the overall success of HireRight
  • Interface with various internal teams as necessary for daily workflow and process improvement ideas
  • Communicate with other departments and management to resolve problems, expedite work, and prioritize
  • Identify and evaluate opportunities for automation across the Account Setup and Maintenance workflows, including the use of bots, scripts, and other digital tools
  • Partner with internal teams (e.g., IT, Product, Operations) to design and implement automation solutions that reduce manual tasks and improve accuracy
  • Monitor performance of automated processes and ensure they align with business goals and compliance standards
  • Stay informed on emerging technologies and trends in process automation and recommend innovative solutions
  • Support change management efforts related to automation adoption, including training and communication

Resource Planning· To identify ways in which resourcing can be reduced through efficiency and process improvement.· To anticipate workloads and discuss resource requirements with Team Leaders and Operations Director, ensure Requisition form detail what, why and how this resource will impact on the business.· To define future staffing requirements with team leaders and contribute to resource planning following review of budget and monthly group financial position.· To understand the resource model and provide required data to make it a comprehensive and reliable tool of capacity planning

Leadership and Development· To recognize talent within team and ensure that they identify a successor for their role, including creation of development plan with support from their Manager· To conduct annual appraisal in line with the company defined timetable· To develop and mentor direct reports, identifying areas for development and offering coaching and mentoring in areas required.· To ensure that excellent performance is acknowledged appropriately.· To have regular 1:1 meetings with direct reports· To communicate regularly with all team members at Team meetings and provide regular business updates· To conduct annual appraisal in line with the company defined timetable· Appropriately address corrective or disciplinary needs· Promote a healthy and positive working environment· Assist in the selection process of hiring Project Coordinators and organizing training for new team members· To set employees stimulating and stretching aims and objectives with clear goals and measurements.· To explain how the objectives contribute to the overall aims and strategic objectives of the team and the company.· To be approachable and consistent when working with all employees.· To motivate, help and encourage team members to hit their targets.· To encourage employees to be accountable for their actions and responsibilities

Qualifications
  • High School Diploma Required; College Degree preferred.
  • High-level experience in pre-employment processes.
  • Excellent Customer Service Skills.
  • Confident and engaging presentation skills.
  • Experience with or strong understanding of process automation tools and technologies (e.g., RPA platforms, bots, workflow automation).
  • Ability to identify automation opportunities and collaborate with cross-functional teams to implement solutions.
  • Strong analytical and problem-solving skills with a focus on continuous improvement.
  • Comfortable working in a fast-paced, technology-driven environment.
  • Proficiency in documentation and change management related to process improvements
