Job Description:

  • ComplianceHandling all Social and Technical Audits such as SA8000, ISO 9001, Clients (especially forEuropean clients) Audits etc.
  • Audit Preparation
  • Collect and organize all necessary documentation (policies, certifications, reports).
  • Ensure compliance with standards such as SA8000, ISO, BSCI, SEDEX, or client-specificcodes of conduct.
  • Coordinate with internal departments to gather audit-related data.
  • Conduct pre-audit internal assessments to identify and resolve gaps.
  • Audit Execution
  • Act as the primary point of contact for auditors and client representatives.
  • Facilitate on-site audits by guiding auditors through processes, documentation, andfacilities.
  • Ensure smooth coordination between auditors and relevant factory personnel.
  • Post-Audit Responsibilities
  • Review and analyse audit findings and reports.
  • Prepare Corrective Action Plans (CAPs) and ensure timely implementation.
  • Maintain records of audit outcomes and follow-up actions.
  • Documentation & Reporting
  • Maintain up-to-date records of all audits, certifications, and compliance reports.
  • Ensure documentation aligns with legal and client requirements.
  • Regularly update Standard Operating Procedures (SOPs) based on audit feedback.
  • Training & Awareness
  • Conduct training sessions for staff on compliance topics (e.g., labor laws, health &safety, environmental standards).
  • Promote awareness of social responsibility, ethical practices, and sustainability.
  • Continuous Improvement
  • Monitor changes in local and international compliance regulations.
  • Recommend and implement process improvements to enhance audit readiness.
  • Encourage automation and innovation in compliance tracking and reporting.
  • Coordination with Certification Agencies
  • Communicate with Certification Agencies regarding audit schedules, requirements,and outcomes.
  • Ensure client-specific compliance expectations are met consistently.Administration
  • Office Operations & Supervision
  • Oversee daily office activities to ensure smooth and efficient functioning.
  • Conduct regular rounds of the factory floor to maintain discipline and order.
  • Ensure adherence to company policies and safety standards.
  • Liaise with assistants and external vendors (Housekeeping, Security, Electrical,Plumbing, Carpentry) to ensure timely service delivery.
  • Manage and monitor Annual Maintenance Contracts (AMCs) for services like AirConditioning, IT Support, Fire Safety Systems, Water Purifiers, Pest Control etc.
  • Cleanliness & Hygiene
  • Maintain high standards of cleanliness and hygiene across office and factory premises.
  • Ensure regular sanitation and upkeep of common areas.
  • Infrastructure & Inventory Management
  • Manage seating arrangements, asset allocation, and inventory tracking.
  • Ensure timely updates of data related to infrastructure and resources.
  • Monitor and maintain office equipment and supplies.
  • Stakeholder Communication
  • Act as a liaison between executives and internal/external stakeholders.
  • Facilitate smooth communication and coordination across departments.
  • MIS Reporting
  • Maintain Management Information Systems (MIS) for Daily expenses, Track and reportadministrative costs and resource usage.
  • Event & Insurance Management
  • Organize and coordinate internal and external events.
  • Manage group health insurance for new and existing employees, including onboardingand renewals.

Additional Responsibilities

  • Take on other administrative tasks as needed to support business operations.
  • Be proactive in identifying and resolving workplace issues.
