Role & responsibilities

  • Manage the CMDs calendar, appointments, and meeting schedules, ensuring optimum time utilization.
  • Coordinate domestic & international travel arrangements, including flights, hotels, visas, itineraries, and local transportation.
  • Prepare detailed travel itineraries and ensure smooth execution of travel plans.
  • Act as a liaison between the CMD and internal departments, external stakeholders, government bodies, and business associates.
  • Coordinate and follow up with vendors, clients, and partners for meetings, events, and business requirements.
  • Organize and prepare for meetings by drafting agendas, compiling necessary documents, and recording & circulating minutes.
  • Draft, review, and manage professional correspondence, reports, and presentations on behalf of the CMD.
  • Track and follow up on tasks assigned by the CMD to ensure timely completion.
  • Prepare and maintain MIS reports, analytical summaries, and other documentation to support decision-making.
  • Maintain confidentiality of sensitive information and ensure secure handling of official records.
  • Support the CMD in corporate events, conferences, and official functions, ensuring smooth execution.
  • Perform any additional administrative or executive support duties as directed by the CMD.

Preferred candidate profile

  • Graduate / Post Graduate in Business Administration, Commerce, Arts, or related field.
  • 510 years of experience as an Executive Assistant, Personal Secretary, or similar role supporting senior leadership.
  • Willingness and flexibility to travel frequently within India and abroad.
  • Strong liaison skills with experience interacting with government officials, corporate clients, and business partners.
  • Excellent communication skills (verbal & written) with proficiency in drafting official correspondence.
  • Proficient in MS Office Suite (Word, Excel, PowerPoint, Outlook) and comfortable with digital collaboration tools.
  • Strong organizational and multitasking abilities with attention to detail.
  • Ability to work under pressure, handle confidential information, and meet tight deadlines
  • Professional appearance, corporate etiquette, and ability to represent the CMD in high-level meetings.
  • Self-motivated, proactive, and able to work independently with minimal supervision.
