Role & responsibilities
Administrative & Office Support:-
• Manage calendars, schedule meetings, and coordinate appointments for the Director.
• Organize department meetings, including room bookings, logistics, and catering.
• Maintain office supplies, equipment, and workspace efficiency.
• Handle incoming calls, emails, and correspondence professionally.
Travel & Expense Management:-
• Coordinate domestic and international travel arrangements.
• Process visa/passport requests and travel reimbursements.
• Prepare and reconcile expense reports.
Event & Meeting Coordination:-
• Plan and execute internal and external events.
• Prepare agendas, presentations, and briefing materials.
• Take meeting minutes and follow up on action items.
Communication & Information Management:-
• Draft and distribute internal communications and announcements.
• Maintain confidentiality of sensitive information and documents.
• Respond to inquiries and act as a liaison between the Director and stakeholders.
Project & Task Management:-
• Track deadlines, incoming requests, and project milestones.
• Support performance management activities and reporting.
• Assist with onboarding and training coordination.
Team Engagement & Culture Support
• Coordinate and support team-building activities, celebrations, and recognition events.
• Assist in organizing employee engagement initiatives and wellness programs.
• Act as a liaison for internal communications and morale-boosting efforts.
• Help foster a positive and inclusive team culture through thoughtful planning and support of engagement strategies.
