The Role

We are seeking a versatile and highly organized Office Administrator and HR Assistant to manage the day-to-day operations of our office and provide critical administrative support to our Human Resources functions. This role is essential for maintaining a positive, efficient, and productive work environment for our entire team.

Role & responsibilities

Office Administration (Approx. 70%)

  • Office Management: Oversee general office operations, maintenance, and facility management to ensure a clean, safe, and professional environment
  • Vendor Management: Liaise with external vendors, service providers, and building management (e.g., cleaning, utilities, maintenance, IT support) for quotes, service requests, and contract management.
  • Mail & Shipments: Manage incoming and outgoing mail, packages, and deliveries.
  • Travel & Logistics: Coordinate domestic and international travel arrangements for staff, including booking flights, accommodations, and ground transportation.
  • Meeting Support: Schedule meetings, manage conference room bookings, and assist with preparing materials, presentations, and refreshments for internal and external meetings.
  • Expense Reporting: Process and track office-related expenses and invoices.

HR Administration & Support (Approx. 30%)

  • Record Keeping: Maintain and update all employee files (physical and digital) and HR databases to ensure compliance and accuracy.
  • Policy & Procedures: Assist in communicating and implementing HR policies and procedures.
  • Benefits Administration: Support the administration of employee benefits, time-off requests, and leave management
